Reception Shift Lead (Part Time)
32.5 Hours per week

Location - Fitzalan Medical Centre and Wick Surgery

Permanent Contract

Rate of Pay £10.90 per hour


The Practice:


Fitzalan Medical Group is an NHS general medical services (GMS) practice, with a registered patient list of around 16,000 patients.

The practice is an independent business owned and operated by a partnership of two Doctors and a Managing Partner. It has a supporting staff of Salaried Doctors, Nurses, Healthcare Assistants, Paramedic Practitioners, Clinical Pharmacists, Clerical Staff and Managers. In all there are around 60 members of staff.

The Reception Team are the frontline link between patients and clinicians, providing essential support to the administrative functions of the practice.


The Role:


To be an effective Lead of the Reception Team in the Managers absence, providing administrative and reception support to the team and clinicians.

The work is covered by the Team on a weekly rota basis, between the hours of 8:00am and 6.30pm Monday - Friday.


Shift Pattern required as follows:
Monday 8-2pm

Tuesday 1-6.30pm

Wednesday 8-2pm

Thursday 8-6.30pm

Friday 8-1.30/1-6.30pm alternating weekly

The post holder will be required to carry out the '
core services' on a regular and consistent basis


These are:

  • Answering the telephone
  • Front Desk greeting patients and visitors
  • Booking Appointments / answering queries / taking messages / arranging home visits
  • Dealing with the pathology results
  • Scanning / Post / Filing
  • Ensuring daily checklists are completed.
  • Outstanding blood tests workflow.


Further to this the post holder will be required to complete some of the other administrative / clerical tasks as required by the team leaders.

This may be on a regular basis or ad-hoc dependent on demand.


These include:

  • Handling doctor's queries
  • Data entry
  • Enhanced Services (ES) administration
  • Report production / analysis
  • Handling of patient / Third party report requests
  • Petty cash handling
As part to the Practice Team the post holder would also be required to have knowledge and understanding of:

  • Patient / Staff confidentiality
  • Information Governance
  • Health & Safety at work
  • Practice policies and protocols
  • Maintaining stock levels
  • Practice Security
  • General maintenance and repairs reporting
This job description should be seen as being indicative of the range of duties to be performed. The post holder may be required to carry out other tasks, as and when required.


The role is covered by a dress code policy and no smoking is permitted within the building or on the practice premises, including the car park.

Computer / IT Literate
  • All records and tasks are completed using our computer systems. Good working knowledge of IT systems such as Word and Excel are therefore essential. Whilst previous experience of TPP SystmOne (our clinical system) and data entry / analysis and keyboard skills would be desirable.

  • The practice has team of 50+ staff, both clinical and nonclinical. It is essential that team members support and assist the whole team in meeting its objectives.

Customer Service / Telephonist
  • Proven skills in communicating with demanding and sometimes anxious patients are both essential and desirable. The post holder will be required to be assertive and yet empathetic to their needs and demands.

Solution Centred

  • The post holder will need good problem solving skills and be willing change priorities at short notice. The NHS protocols and process are constantly changing and evolving, therefore, the ability to adapt to new guidelines and demands is essential.

Time Management / Organisation abilities - there are many deadlines and protocols to adhere to within general practice and the post holder will be required to proactively manage these effectively and efficiently both within the team and individually.

Flexibility- the practice is open from 8:00 am in the morning until 8:00 pm at night on two days a week and from 8:00 am - 6:30 pm the other three days, Monday to Friday. To fulfil this role the post holder will need to be able to work any given shift pattern within these hours to suit the needs of the practice. Holiday and sickness cover is also expected when necessary, often at short notice.
