Overview:
Support TAR team and ad-hoc support to TAR Manager and TAR Co-ordinator.
Primarily focused on ensuring the timely completion and accurate tracking of critical deliverable status, outstanding actions and technical admin (SAP entry updates, meeting prep and minutes) ultimately part of the core TAR team supporting the successful and on time delivery of TAR preparation work.
RESPONSIBILITIES
Responsibilities:
Responsible for maintaining various action logs, ensuring timely completion of actions and accurately recording updates, such as:
Tracking completion and status of:
Risk Register actions
Milestones on the 'plan for plan'
Critical interface register
FAE TAR actions
Tracking of recruitment and onboarding
TAR will be recruiting hundreds of people and will have around 1000 people to get through HSE onboarding
Joining instructions need to be sent out, attendance tracked and checks made to determine everyone completed onboarding prior to going offshore
Printing work packs and permits onshore for shipping offshore
Close out work - capture lessons learned
Tracking planning burn rates, such as, WO work preps status, workpack status, permit rediness etc
Responsible for inducting new starts and ensuring they have the tools and equipment in place to start their role effectively
Responsible for creating monthly newsletter and communications to the wider stakeholders
Responsible for facilitating action tracking (of the above) through communication with action owners. Working with TAR co-ordinator to understand priority actions and expediting closure
Responsible to manage the T&O register in a timely manner to ensure good decisions are made quickly. Facilitate changes to the master work list after T&O approvals
Responsible to track and monitor location trackers and holiday trackers
Facilitate logistics and diaries peer reviews
Support the development of clear, concise and high quality executive meeting materials (agenda, slideware, handouts)
Attend meetings where required, record accurate minutes/actions and distribute minutes & actions following meeting
Support completion of regular tracking activities and materials used to update executive steering committee (milestone status, dashboard extracts)
QUALIFICATIONS
Self starter
Highly organised
Outstanding communication skills both written and verbal
Highly skilled with excel, word, powerpoint and teams
