We are currently recruiting a Contract Administrator for our Facilities Services contract at Devonport Naval base, Plymouth.


The Administrator will provide operational & financial administration support to the contract delivery team to meet the contract and business objectives.

The role will report in to the Office manager, and have a close interaction with the Maintenance Supervisors / Managers as well as the Contract Finance Controller.

Security Clearance will be required, and will be a condition of employment. If not held, will require UK residency minimum of 5 years continual history to obtain security clearance.


Responsibilities:


You will:


  • Provide contract operation support as required by the Account Director and Contract Management and as directed by the Office Manager
  • Collate and Maintain contract and operational documentation
  • Provide support to the financial reporting requirements, to include WiP and aged debt
  • Review & rectify invoice queries from the Finance blocked invoice reports
  • Arrange and process subcontractor orders to support operational activities
  • Collate and draft the Monthly reports as required
  • Receiving and verifying billing and requisitions for goods or services
  • Provide frontline contact with client representatives and third parties
  • Attend meetings as requested by the Office Manager and Account Director
  • Take minutes of meetings and distribute to attendees and contract stakeholders
  • Update quote log & track client approvals

Requirements:


You will have:


  • Previous working experience within a FM or Building Services environment
  • Ability to work under pressure
  • Demonstrate consistent excellent standards of diligence
  • Adaptable to a variety of work and contract demands
  • Have a logical and organised method to enable 100% completion of all works
  • Able to prioritise and multitask to a high level, whilst achieving strict deadlines
  • Able to liaise with Engineer's and Sub Contractors and ensure standards of works are maintained
  • IT literate in all Microsoft packages especially Word and Excel to produce detailed Excel and Word reports
  • Ability to work additional hours as required from time to time
  • Flexible and cando attitude
  • Experience of Invoice reconciliation and WiP reporting
  • Demonstrate a proven experience and understanding of operating a Service / FM Software Package. (Desirable)
