Description
We are recruiting for an Administrator to work within the Fleet Services department of Gwent Police.

You will be based at Croesyceiliog, Cwmbran NP44 2XJ.

This role will be office based and you will be working Monday to Friday 37 hours a week.


PRINCIPAL RESPONSIBILITIES

  • To be responsible for the renewal of the Vehicle Taxes for all police vehicles
  • To process Vehicle Tax refunds and reclaims to ensure amounts balance.
  • To be responsible for processing all fuel transactions.
  • To be responsible for ordering and issuing fuel cards and to manage the distribution and receipt system to ensure fuel cards reach their destinations.
  • To raise requisitions and process invoices for fuel, maintenance, repair, vehicle recovery, external contractors, and other fleet related services to ensure correct charges are levied. Updating the fleet management system where necessary.
  • To manage and check vehicle accident damage reports, maintaining the accident module of the fleet management system ensuring accuracy and updating the system with all accident costs.
  • To gather accident data to assist Legal Services with insurance claims.
  • To use the Fleet software system to raise, update and close jobs for workshop and external contractors, and to call vehicles in that are due for service.
  • To manage the pool vehicle booking system, ensuring maximum availability to customers. Perform periodic checks and cleaning of the pool vehicles.
  • Prepare paperwork for auction vehicles and arrange for their collection.
  • Process Notice of Intended Prosecutions for speeding and red light offences by police vehicles.
  • Deliver and collect police vehicles to and from outside contractors if the need arises.

KNOWLEDGE, SKILLS AND ABILITIES

  • Must have NVQ Level 2 in Business Administration or relevant experience.
  • Must have experience of producing a high volume of work whilst working to deadlines.
  • Must be able to demonstrate experience of working with office systems and administration.
  • Must be able to demonstrate experience of working in a customer service environment.
  • Must have an awareness of financial procedures including purchase orders and invoices.
  • Level 1 Welsh essential (training will be given). Welsh language skills Level 2 and above are desirable
  • Must have a full and valid driving licence and pass the Force driving assessment to be able to drive various types of vehicles
