    Job summary

    An exciting opportunity has arisen at The Christie Pathology Partnership (CPP) for a Medical Secretary to join our Pathology Admin team which is part of the Histology department.

    Main duties of the job

    To provide full secretarial support to a team ofClinical Histopathologists, ensuring that a high standard of service ismaintained, deadlines met and to meet the needs of the patient and those of thedepartment.

    To keep accurate, up-to-date patient records usingmanual and electronic systems (TDHC Histology database, Careflow, CWP, HODSetc.) which involves data input and maintenance of various databases. Other administration duties include covering workloadduring absences, filing and dealing with multi- disciplinary meetings.

    Job responsibilities

    Toprovide a full secretarial service to all Consultant Histopathologists, SpRs,BMS and Pathology Office staff includes general office duties and ensuringthe timely dissemination of reports in order for the referring clinician totreat the patient

    Toarrange clinical investigations (pathology reviews) by abstracting informationfrom patients case notes, recording all relevant clinical details andinitiation letters involves dealing with any subsequent clerical andtechnical problems that arise which relates to waiting list management,including 31/62 target patients

    To catalogueand register (if necessary) in-house pathological cases (theatre/wards/departmentsand outside referrals (using the NHS Smartcard, Careflow and Technidata),setting up reports in readiness for audio dictation and voice recognition, typemacro reports on a daily basis involves checking for discrepancies,electronic form filling and filing system using computer and manual systems

    Ensuring the accurate patient demographics byusing Careflow and various databases (including NHS Smartcard ManagementService) in order to clarify discrepancies

    Patient casenote tracking using the Careflow system

    Toreturn pathology material to the referring hospital recording relevantinformation for accreditation and audit purposes using the electronic notebookwithin Technidata (UKAS ruling), using manual and/or computerized systems andorganising special deliveries/couriers

    Tocommunicate with staff at all levels, both internal and external bodies (aroundthe UK and abroad)

    Print run:appropriate dissemination of a variety of medical reports and pathologymaterial, some of which is highly confidential.

    To cullfiles within the voice recognition software

    To organisesecond opinions (home and abroad experts in their field) and special tests( molecular tests such as BRAF, EGFR, KRAS/NRAS, GIST etc) which involvesspecial deliveries and couriers

    Toobtain archival pathology material and medical reports from deep store withinChristie

    Toprovide clerical and organisational assistance in connection with trials and jointresearch projects (involving clinical departments and external bodies)

    Toprovide clerical assistance regarding statistical information for audit

    Toprovide information to support the investigation of litigation cases

    Preparevarious Multidisciplinary Team meetings (MDTs), ensuring all relevantinformation and pathological material is available in a timely manner on behalfof the Consultant Histopathologists

    Scanningpaper files into various electronic filing systems

    Tocontribute to the training of new members of staff as required

    To work withPathology Office Team Leader, Histology Services Manager and colleagues toimprove quality and range of services, with resources being managed accordingto agreed policies and priorities

    Todeputise for the PathologyOffice Team Leader if required, but exempt from decision making

    Attendappropriate training and education sessions at the request of the team leader

    Toundertake any other duties commensurate with the post, required by theHistopathology Laboratory Manager and Pathology Office Team Leader.

    Qualifications

    Essential

  • A comprehensive secondary education
  • AMPSPAR Diploma (Association of Medical Secretaries, Receptionists and Practice Managers) or equivalent qualifications
  • Clerical/secretarial certificates ( RSA II, NVQII or equivalent)
  • Desirable

  • Evidence of further development ( NVQ II/III, ECDL, RSA III, AMSPAR or equivalents etc)
  • Knowledge and Skills

  • Skills:
  • Audio and word processing skills (good general IT and keyboard skills with a high degree of accuracy and computer literately regard Microsoft Office packages
  • Excellent communication skills
  • Ability to work as part of a team
  • Highly organised with the ability to work under pressure
  • Able to prioritise, multi task and work autonomously but know when to seek advice
  • Good time-keeping, reliability and adaptability
