GENERAL RESPONSIBILITY:


The post holder will be responsible for coordinating the day to day operation of the sheltered housing scheme which includes offering support to tenants, promoting a sense of community and providing an administrative and general service.


MAIN DUTIES:
The post holder will be responsible for the following:
Tenant Liaison

  • Completing daily welfare checks with tenants each day or in accordance with their wishes; ensuring daily contact sheets are completed and any issues encountered are appropriately recorded and resolved.
  • Completing new and annual review Support Plans with tenants to ensure their needs are met and changes are monitored.
  • Acting as the main point of contact for all tenants during normal working hours; dealing with their general needs and queries.
  • Providing assistance in the case of accident or illness until the relevant services and or family members are contacted.
  • Maintaining the tenant's Radius Connect 24 personal and next of kin contact information and undertaking full checks of this biannually.
  • Completely sixmonthly checks of Radius Connect 24 equipment, this includes testing pull cords in tenants' flats and communal areas.
  • Actively promoting and running a full and varied social activities programme, including and not limited to coffee mornings, lunch clubs, physical activities, outings and gardening.
  • Establishing and developing relations and links with the local community, churches, community groups, schools, colleges, advice groups etc in the pursuit of social inclusion for the tenants.
  • Liaising with the Housing department, relatives and appropriate Services/Agencies to ensure tenants' support needs are addressed.
  • Meeting new or prospective tenants, facilitating accompanied viewings of vacant properties and promoting the ethos of Alpha and sheltered accommodation.
  • Completing the process of signing up new tenants, issuing all relevant forms.
  • Processing tenancy terminations, ensuring keys are returned within the required timescales and the property is vacated and left in an acceptable condition.
  • Completing the appropriate paperwork for void properties as directed by the Housing team.
  • Attending the 'Time for Tenants' meetings to support the tenants and the Housing and Maintenance teams. Maintaining Scheme Appearance
  • Ensuring a very high standard of presentation at the scheme is maintained at all times, including the cleanliness of the communal areas and the external appearance, checking the grounds remain clean and tidy and free from litter.
  • Supervising the Scheme Cleaner and ensuring adequate stock of cleaning materials.
  • Carrying out occasional cleaning duties as necessary in the case of absence and or assisting with routine deeper cleans. Health and Safety
  • Gritting key areas identified outside the scheme during cold conditions, adhering to the policy, displaying signage and distributing salt using the trolley and tools provided.
  • Adhering to fire evacuation procedures, maintaining and updating tenant information routinely.
  • Carrying out announced and unannounced fire drills every six months.
  • Checking emergency lighting on a weekly basis, recording and reporting any faults as necessary.
  • Maintaining the Accident Report Log, accurately recording details of all accidents and processing through to Head Office.
  • Maintaining Tenant Risk Assessments.
  • Immediately reporting issues which pose a health and safety risk. Maintenance Administration
  • Ensuring that all paperwork associated with any general maintenance or building faults (internal or external) are reported to the Maintenance department in a timely manner and in line with the correct procedure.
  • Raising repair orders for tenants via the software system, Pyramid, this includes photographing the repair.
  • Acting as a first point of contact for contractors carrying out works on site, signing off completed works as required.
Administration

  • Acting as the first point of contact for scheme telephone enquiries and visitors.
  • Maintaining the Scheme "partnering pack" and providing cover for other Scheme Managers within the designated "buddy group" in the local area.
  • Updating and maintaining the scheme diary on a daily basis, including entering incidents, events, absences and information for the Housing Officer.
  • Coordinating guest room bookings and processing payment.
  • Ensuring an efficient handover to and from Radius Connect 24 prior to and after normal working hours and in the case of absence.
  • Completing and returning wages returns to head office on a monthly basis.
  • Any other reasonable and relevant duties as and when requested by Management.
