Purpose:


To provide an executive assistant service ensuring first-class administrative standards, effective time management and a very high level of confidentiality.

All duties must be performed to a first-class standard whilst ensuring decisions made in respect of constantly conflicting priorities are done using a high level of initiative and judgement.


The Role:


  • Work closely with the FLT to support all aspects of their daily routine.
  • Comprehensive diary management, including scheduling meetings, work and personal appointments, speaking engagements and travel. Exercise discretion in committing time and evaluating needs.
  • Serve as a liaison between the FLT, club colleagues & stakeholders and external parties. This includes receiving and making calls on behalf of the FLT, answering a variety of questions with tact & diplomacy, taking messages, and directing calls for resolution.
  • Quickly building business area knowledge to be able to provide a view on prioritisation for the FLT, redirecting matters to other colleagues or handling personally where appropriate
  • Keep the FLT advised of timesensitive and priority issues, ensuring appropriate follow up.
  • Assist with the development of presentations for internal and external audiences, including completing research and composing summary information.
  • Project management on behalf of FLT and follow up with team members where required.
  • Negotiating and managing deadlines with management team
  • Meeting organisation, including preparation & distribution of meeting agenda's, pre meeting research and taking minutes during
  • Coordination of visits from external stakeholders, including meeting and greeting, setting up meeting rooms and providing guest hospitality
  • General administrative tasks, including processing of expenses, raising purchase orders and management of invoices
  • Building strong relationships with internal and external stakeholders
  • Working closely with all other PA's and EA's to deliver aligned standards
  • Understanding club and office protocols and delivering requirements to a high standard
  • Providing ad hoc support and coordination for events/match days as required

The Person:


  • Extensive experience in an PA/EA position, supporting a senior level stakeholder.
  • Proven experience of building strategic working relationships to facilitate the accomplishment of work goals.
  • Excellent organisational, time and workload management skills
  • High attention to detail
  • Flexible and agile approach to working.
  • Able to work with the highest levels of professionalism at all times.
  • Highly effective communication skills, able to build strong relationships across a broad range of seniorities both internally & externally.
  • Trustworthy with integrity, capable of being privy to extremely confidential information without disclosure.
  • Extensive experience of working with MS Office 365, PowerPoint, and Excel
