Description

The Business Support Officer will be able to work on their own initiative and have a flexible approach to their work in order to deal with conflicting demands and deadlines.

The post holder will support with diary management and forward planning in the team and will co-ordinate and document key meetings and action plans, leading on co-ordination of responses.

Please note we operate a 3-month probationary period for new appointments

  • To provide effective admin support to the team and ensuring all work is to the highest standards and in accordance with ICB Policy. Review and process data in a qualitative manner, as and when required.
  • To participate in projects as delegated.
  • Provide support as required to the Clinical, Medicines & Pharmacy portfolio of work and associated Programmes Boards.
  • Provide overarching support to the wider team and coordinate team meetings and agendas.
  • Deal with incoming queries for the Chief Medical Officer and team both written and verbally, redirecting or escalating when appropriate.
  • Coordinated diary management to prioritise appointments, making sure all appointments are organised logístically in order to cut down on travelling time.
  • Organising meetings/conferences, including booking venues, arranging refreshments, speakers, preparing and circulating papers to attendees.
  • Organising effective agendas and required documents, taking and transcribing professional minutes, producing an action log and updating as required, monitoring attendance.
  • Responsible for typing a variety of documents and correspondence, requiring excellent professional written skills and a good understanding of local processes.
  • Ensure confidentiality and appropriate filing of all documentation in the correct order in accordance with ICB policies and procedures. Ensure that all documents are made available for appropriate people within the service, keeping all necessary electronic systems up to date and ensuring information is accurate.
  • Support the induction of new starters into the Clinical, Medicines & Pharmacy Team.
  • To respond flexibly, prioritising a diverse workload, in order to meet the changing demands of the service ensuring appropriate cover for planned absence across business support within the team.
  • To coordinate workflow and manage local systems within the team to ensure work is prioritised and delivered within agreed deadlines and targets.
  • Part of this role will be to develop standard approaches and best practice for tasks and identify continuous processes for improvement within your area of responsibility, to ensure all work is to the highest standard and in accordance with ICB and service policy and procedure.
