The University Of Northampton require a records management administrator to support the existing team.The purpose of this role is to take forward the implementation of the University Records Management Policies and procedures.
Also to manage Freedom of Information enquiries and general information compliance tasks as directed.
Duties and responsibilities
To provide first line advice on data, information and records management issues for staff.
Handling Freedom of Information requests, acting as the first point of contact in relation to these requests. Ensuring the University does not act in an illegal manner.
To analyse submitted information, included tabulated data to prepare compliant responses to Freedom of Information requests to be approved by the Records Manager.
To assist with maintenance and development of the records retention schedule for University corporate records and corporate file structure.
To amend, maintain and ensure relevant policy and procedure documents are up to date as directed by the Records Manager.
To organise meetings of the Data Protection Coordinators and to take minutes.
To provide guidance, in ensuring compliance with legal and external regulations and obligations and provide advice and support to staff, referring complex cases to the Records Management Officer or Records Manager as appropriate.
To undertake information audits in agreed areas as directed by the Records Manager and proposing actions to improve compliance and manage risk where relevant.
To provide general advice to visitors on how to use the University's archival material, and to provide basic support to undergraduate and postgraduate researchers accessing the material.
To review for compliance the Records Management and Publication Scheme web pages, ensuring amendments are made as necessary to ensure continued compliance.
To represent Records management matters on university working groups as required.
Manage personal workload and adjust priorities as required.
Skills and experience
Educated to a good standard.
Experience of dealing with records or archives in a corporate environment
Experience of dealing with confidential information.
Ability to adapt to technological and legislative advances and changes in the workplace.
Working knowledge of current legislation regarding Data Protection and privacy.
Ability to respond in a professional manner to requests from students, academic staff and external partners.
Ability to identify and deal with potential breaches of information compliance
Evidence of working to agreed standards and procedures.
Ability to catalogue Archival material to a professional standard.
Experience of using electronic document and Record systems and electronic Archive catalogues.
Knowledge of the education sector and the specific regulatory environment impacting the creation, management and retention of records in this area.
