- Covers organisational and administrative aspects of the team's function
- Managing expenses submission process, travel arrangements, and the diary of the Head of EMEA & Asia Communications
- Handling invoices and third-party contracts in a timely manner, working with relevant internal cross-function teams
- Ensuring the firm's retained PR agencies across EMEA and Asia provide media briefing notes ahead of spokespeople engagements with media
- Collating and sending out daily media coverage roundup reports to internal distribution lists
- Drafting weekly/monthly team updates for executive meetings
- Managing and keeping up to date the annual log of all media activity and requests received by the in-house Communications team
- Adding reporters to distribution lists and sending on research notes to press
- Keeping an up-to-date calendar of industry awards
- Keeping on top of details on upcoming deals and transactions which might need proactive media outreach
- Provide support on additional team projects and initiatives
- At least 4 years of administrative experience
- Ability to multi-task, prioritise conflicting requests and manage time
- Quick learner and strong attention to detail; excellent organisational and administrative skills
- Previous experience of financial services/ media relations would be an advantage
- Fluency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
