JOB OVERVIEW

  • An exciting opportunity to work in the Mitie's Central Government and Defence business unit as a FDIS Administrator working on the Future Defence Infrastructure Services (FDIS) contract for Scotland & NI.

This role reports to the PMO Manager and would be joining a diverse operational team of Project Managers and Administrators providing critical support to meet the key contractual requirements in the delivery of Billable Works to include performance reporting, compliance and document management.


  • The role is full time and based at Hilton Road Rosyth.

Main Duties

The Teams main duties include:

  • Work within the team to provide data management, workflow and analysis on Billable works tasks within the Maximo CAFM system.
  • Support the production of all mandated weekly, monthly, quarterly and annual reports and creation of Dashboards and client reports in Excel Spreadsheets and Powerpoint slide decks.
  • Coordinate with and support the Project Managers Managers and their teams across all Regions within S&NI to help to achieve the Contractual outputs.
  • Coordinate with and support the Establishment Managers and their teams across all Regions within S&NI to help to achieve the Contractual KPIs in their area of responsibility.
  • Liaise with Supply Chain members where required to.
  • Document Management in the upload of reports into the FDIS Secure Sharepoint System, the Mitie ASite (CDE) Common Data Environment and the Client CDE.
  • Monitor Operational Performance ( KPIs) throughout each month with Site teams, and Supply Chain stakeholders to deliver Operational improvement.
  • Support Audit activity relating to Performance, Compliance and Asset change management.
  • Establish and maintain responsive communication with internal staff and client staff.
  • Demonstrate clear and effective alignment with the operational/corporate objectives.
  • Comply with business policy and procedures, supporting continual improvement
  • Where required, provide absence cover for the PMO Manager.
  • To support in creating effective onboarding guidance relating to contract, systems, reporting, processes.
  • Provide Super User support, assisting the wider Scotland & NI team through the evolution of the various CAFM systems and ASite, ( CDE)

WHAT WE ARE LOOKING FOR

  • Excellent written and verbal communication skills with an eye for detail.
  • Competent in the use of Excel, Word, PowerPoint,
  • Excellent time management skills, with the ability to prioritise a changing and demanding workload, remaining calm under pressure.
  • Good problem solving analytical skills
  • You will be expected to work under the direction of the PMO Manager but also to your own initiative, whilst also working well as an integral team member.
