    Description

    Primary Responsibilities:

    1. Communicate (written and oral) information between Medical Services Providers, operations staff, and other departments.
    2. Arrange department functions, travel arrangements, accommodations, registrations, etc.
    3. Assist with the coordination of meetings through taking minutes, drafting agendas, ordering meals, copying meeting collateral, verifying room availability, and maintaining e-mail list.
    4. Coordinate the schedules for assigned Medical Staff leaders and assist with small projects as assigned.
    5. Works with Team Leads, Managers, and Medical Directors to create accurate and accessible call schedules, notifies team of coverage deficiencies/conflicts.
    6. Post monthly schedules on Connect and share with required departments and leadership.
    7. Track Provider PTO to ensure adequate coverage and notify Leads of issues.
    8. Review and complete departmental timekeeping prior to payroll deadlines.
    9. Order and maintain office supplies.
    10. Track timeliness of coding submissions, clinical documentation, form/certificate completion, and collect data.
    11. Track and processes educational reimbursements and payment submissions.
    12. Assist with office telephone, email, system notifications, data entry, and faxes.
    13. Send patient/family/referral source correspondence as assigned.
    14. Perform other duties as assigned by Leadership.

    Qualifications:

    Education/Experience:

    Any combination of education and experience that would provide required skills
    and knowledge for successful performance would be qualifying.
    Typical qualifications would be equivalent to:


    • High school diploma required.

    • Minimum of three (3) years administrative assistant experience required.

    • Minimum of one (1) year computer experience and proficient in
    Microsoft Office, Word, Excel, PowerPoint required.

    • Minimum typing of fifty-five (55) words per minute.

    • Experience in the medical field highly preferred.

    • Experience with clinical information systems is preferred.

    Knowledge of:


    • Excellent command of the English language including usage, grammar, spelling, and punctuation;
    business letter and report writing techniques.

    Skilled at:


    • Managing a variety of responsibilities and multi-tasking.

    • Demonstrating appropriate discretion with confidential material and information.

    • Understanding and implementing office procedures and protocols.

    • Working independently as well as taking direction from supervisor(s).

    • Organization and detailed management skills.

    • Disseminating information accurately and efficiently.

    • Must be flexible and adaptable to change and have a positive attitude.

    • Excellent follow-up skills.

    • Customer service skills that reflect the ability to accurately identify and consistently exceed

    customer expectations.
