ACADEMIC ADMINISTRATOR

Purpose
The Academic Administrator is responsible for providing administrative support across programmes of study to ensure relevant administrative processes are properly in place, smoothly operational and aligned.
The Academic Administrator will be the first point of contact for enquiries, the Academic Administrator would also provide administrative support as well as exceptional customer service to students to ensure a smooth educational journey for ABA students.
The role involves regular communication and collaboration with key internal and external stakeholders.Roles & Responsibilities
Enquiry Management
- To provide extensive support as appropriate with the inclusion of signposting students for matters relevant to wellbeing and mental health both internally and externally.
- Liaising with departments as appropriate to ensure smooth running of programmes, highlighting and escalating any potential concerns with programme delivery as appropriate.
- To be liaising with external stakeholders as required to support the programmes and their management.
- Provide regular communication to students relevant to their programmes of study
- To ensure academic and safeguarding support is provided to students in line with appropriate policies and procedures.
- Providing administrative support to ensure the smooth running and operation of programmes of study.
- To ensure attendance and engagement is effectively monitored and participating within reasonable interventions and contributing to appropriate panel meetings as required.
- Ensuring all student records and system information remain up to date and accurate.
- Ensuring all relevant documentation and content for students remains up to date and accurate
- Provide accurate reporting to management and other stakeholders in relation to student registration, attendance and engagement, progression, completion and achievement as required.
- Responsible of maintaining appropriate performance management systems.
- To be responsible and proactively working with assessment information, including submission interventions, results dissemination, and academic year calendar maintenance.
- Preparing for audits, inspections, and appropriate boards (including preparation for sampling packs as required)
- Contributing to suggestions for improvements with a view to increasing the effectiveness and efficiency of administrative processes.
- Any other duties as required from time to time by Head of Student Services
Essential
- Experience of working within the Higher Education (HE) Sector
- Experience working in a busy office in an administrative role
- Good working knowledge of standard IT systems and databases
- Experience of working in a customer service environment
- Experience of maintaining clear and accurate records
- Excellent IT skills including word processing and spreadsheet packages
- Excellent organisational and time management skills
- Excellent communication and interpersonal skills in order to communicate effectively and sympathetically with staff, students and members of the public.
- Ability to develop good working relationships.
- Excellent written and oral communication skills, with a high level of accuracy and attention to detail
- Information management skills including a high level of accuracy and attention to detail
- Capacity to manage and prioritise a high workload, often working to tight deadlines
- Educated to degree level or equivalent
- Evidence of effective team working
KPI's
Key Performance Indicators (KPI) are used to measure performance over a set time.
- maintaining and processing accurate student data to fulfil both internal and external requirements
- maintain customer service excellence
- liaison point between the Academic Office, Academic Schools, partner organisations and other central support units.
- Deal with student queries through the online student query management system.
- Setting up submission links for students to submit assessments
- Maintaining cohort information in relation to assessments
Salary:
£18,525.00-£21,000.00 per year
Schedule:
- 8 hour shift
Ability to commute/relocate:
- LUTON, LU1 3AJ: reliably commute or plan to relocate before starting work (required)
