Job summary:


The Animal Plant Health Agency (APHA) is a Government Agency that sits within the Department for Environment, Food and Rural Affairs.

We currently have 13 positions as Administrative Officers available in the following areas:

Scotland

  • 2 Permanent posts within Finance Services based in Scotland within Scotland Field Delivery.

National

  • 11 Fixed Term Appointments until 31/03/2024 (with a view to extension to March 2025) Finance Team Member post based nationally with occasional travel to Preston.
These roles will provide significant opportunities to develop your own skills and future career.

You will be nominally aligned to an APHA office. During certain circumstances (e.g. National disease outbreaks) staff will be expected to work on detached duty at other locations, these requests will depend on business need. The post holder will occasionally be required to work from other locations in the delivery area.


Please note:
A reserve list will be kept from the campaign for 12 months for any future vacancies. All posts will be offered in merit order.


Job description:

The post holders will provide general administrative support to the Directorate. You will be working in friendly and supportive teams in fast paced, reactive and varied role(s).

This involves a wide range of administrative and supportive functions, including but not limited to; procurement, preparing financial reports, data input, and business support functions.

You will require good Microsoft programme knowledge.


With your excellent IT and organisation skills, you will have the flexibility to turn your hand to different tasks as the situation demands.

You will be engaging with a broad range of partners and forming relationships with colleagues across the wider Defra team.


The post holder will be expected to provide support to managers and frontline staff by undertaking transactional work in a particular area.

Training and support will be provided.


Main Duties:


Delivery

  • Working collaboratively with remote teams across GB to support the delivery of the core function of the Business Unit in accordance with established time scales and performance targets
  • Ensuring accurate records are kept and updated accordingly, data input using various IT systems in accordance with APHA procedures
  • Being flexible to adapt to changing situations within the office and respond with energy and commitment to take on additional tasks that may be outside the normal day to day duties

Administration Procedure

  • To take responsibility for a set of administrative procedures; ensuring actions are carried out in accordance and within the necessary timescales
  • Providing various office administrative and business support duties to the immediate, and when required wider team, including mailbox monitoring
  • To take responsibility of a set of financial procedures including but not limited to; transactional tasks, procurement, processing invoices, reconciliation and collating data for financial reporting
  • To take ownership of cases and be responsible for inputting complex data onto bespoke IT system (NDOMS)
  • Resolve data discrepancies on the Management Information (MI) reports
  • Complete audits of Outbreak casework

Customer Service

  • To liaise with, and provide excellent customer service to Stakeholders, Delivery Partners and Customers, both internal and external, to understand and appreciate their needs and requirements
  • To manage the customer expectation
  • Updating information held on our information systems by liaising with business partners, suppliers and stakeholders
  • Communicate with a wide range of stakeholder to ensure records are accurate
