Merchandising Assistant:
Gap


Location:
Tottenham Court Road


Job Purpose:

To ensure the critical path is managed from loading data to the Gap portal, raising Purchase orders through to delivery of stock into warehouse, ensuring it is available to sell online, working closely with the Lipsy London team, Lipsy Pune Admin team and Gap.

Providing admin and reporting duties as and when required. To Deliver outstanding service and maintain strong working partnerships to all functions to ensure maximised sales and profit for both parties


Principal Responsibilities:


  • PO Raising/Buy process
  • Ensures sizing is actioned accurately and to the latest analysis and upload to the Gap portal by the specified deadline.
  • Working through product enrichment checklist and grouping/colour linking products to drive sales
  • Ensures all styles are raised in NPS and live in Mainframe in accordance with the critical path (CP)
information is correct on purchase orders (PO)

  • Working in close collaboration throughout PO raising process with Lipsy Pune Admin Team (LPAT), managing workload, priorities and ensuring work they produce is accurate.
  • Ensures that any discrepancies between PO, buy sheet and brand info are highlighted immediately and amended accordingly.
  • Oversee the order raising process working closely with LPAT, and in peak periods to raise new orders and repeat PO's. It is very important to retain knowledge of order raising process to effectively troubleshoot when errors occur, raise in place of LPAT should they be unable to work.
  • Ensures PO's are raised and approved in timely manner with only fully approved PO's being sent to brands.
  • Managing draft PO's to ensure they are approved by their team Merchandiser in a timely manner, avoiding knock on delays with label processing ensuring brands can label product efficiently.

Order management

  • Liaises with Gap to ensure that stock is booked into the warehouse and delivered on time in accordance with CP.
  • Manage delivery dates with LPAT to ensure latest date communicated from brand is updated on all systems (no PO should have date that is in the past). Discusses action to take due to late delivery of stock with Merchandiser understanding parameters and how this should be dealt with.
  • Follows PO's from warehouse delivery to live status, using Stock Status Tracker (SST), IUF and mainframe to check status of stock.
  • Manage and update the range plan with any cancellations, colour/fabric changes or date changes
  • Prepare and maintain order data sheet of our products in our merchandise management system as well as focus on entering all orderrelated data to our system (EAN-Matching, Supplier Data) to ensure high quality orders
  • Working with the supply chain to resolve post and pre delivery tracking issues.
  • Maintain invoice trackers. Following up on queries.

Site optimisation

  • Manage CP before and after images are received to ensure smooth process to getting items live
online through delivery meetings and day to day communication.

  • Liaising with the US and Next shoot teams over imagery. Chasing through queries with site opps and next to keep ISNOS to a minimum and push products to go live.
  • Reviewing customer journey and anything we can do to drive sales i.e cords, tabbed, match backs and TOV

Price actions

  • Actioning price changes Every Thurs/Friday under merchandiser guidance.
Analysis and reporting

  • Accurately produces adhoc reports as required by the business and is able to interpret and
summarise the data

  • Produces reports to identify best and poor performing lines, communicating findings and making suggestions on actions to take to the Merchandiser.
  • Monitors held orders report for orders waiting to be fulfilled from customer returns for a considerable amount of time. Proposes those that look to be unlikely to be fulfilled to Merchandiser for approval and once agreed cancelled with customer services and requested with Site Optimisation to be removed from the website.

Commercial thinking

  • Knows who key brand competitors are, makes links to external factors and competition.

Store optimisation

  • Supports on store replenishment and build needs where applicable. Reviewing performance by store.

  • Support in all operational and administrative matters, especially in placing purchase orders (PO's) into our systems, check them for accuracy and getting the product live on site in a timely manner.
