Would you like to play a key role in the Buro Happold Facilities Team? We currently have a fantastic opportunity for a Facilities Coordinator to join our team in Bath on a permanent basis. The role is office based and the working hours are 8.30 to 17.00 with one hour lunch break. There may be the occasional requirement for out of hours and weekend work to fulfil the role duties.

You will be working with the Office and Facilities Manager to maintain a high-level service to ensure the smooth running of the Bath office.

You will undertake local and UK office facilities administration, complete regular building checks, keep track of the office compliance for Health and Safety, and manage the pre-planned maintenance records and contracts.

Key Duties

:


  • Main point of contact for Facilities.
  • Key holder responsibilities for accessing the offices in an emergency out of hours and following the Business Continuity processes.
  • On occasions out of hours work/office moves.
  • Working with the UK Facilities Team to complete duties and projects as required, particularly during holidays/sickness.
  • Condeco (desk booking system) setting up desks on the system and troubleshooting errors/queries.
  • Managing the work schedules for contractors including PPM's and ensuring jobs are booked. Keeping a track on their status, highlighting any issues and close out.
  • Logging reactive calls with suppliers as required, including lifts, fire panels, intruder alarms, access systems. Following up calls to ensure they are closed out and actions resolve.
  • Carrying out Health & Safety checks in the office.
  • Uploading HSE, contractor and statutory compliance information onto intranet. Reviewing worksheets and highlighting any actions.
  • Reviewing HSE and statutory compliance checklists and highlighting upcoming actions.
  • Raising PO's, checking of monthly invoices against metrics and works undertaken; updating the invoice list as required.
  • Reconciling monthly credit card statements with receipts.

Your skills and experience

:


  • A solid foundation of office experience and a proactive approach to your work.
  • Good computer and IT skills including Word, Outlook and Excel, SharePoint, and Teams.
  • Previous experience in Facilities or similar role.
  • COSHH Management (advantageous).
  • IOSH or NEBOSH H&S Qualification (advantageous).
  • Knowledge of ISO's 14001 and advantageous).
  • Membership of relevant Professional body such as IWFM, IOSH, IEMA (advantageous).
  • Resilient and motivated.
  • Creative ability to develop new initiatives for continuous improvement in business practice.
  • Proactive approach with an enthusiasm to connect with our teams and their work at all levels.
  • Flexible approach to undertaking tasks and the ability to prioritise.
  • Professional and organised.
  • Remains calm in pressurised situations.
