Our client is a fantastic organisation within the education space. They are currently looking for an Exams Administrator to join them on a permanent basis.

The purpose of this position is to assist with all aspects of the Examination and Assessment processesfor Apprenticeship programmes, including the administration of examinations, tests and entry of examination details onto the student record system.

Monday to Friday 08:45-17:00


What the Exams Administrator will be doing:

  • Processing student data for registrations of apprenticeship programmes and end point assessments
  • Take responsibility for cross Apprenticeship administration in respect of both client Teams
  • Communicate clearly across all curriculum areas, with awarding bodies, organisations and with apprentices
  • Book exams (online/paper) and create exam documentation
  • Schedule events with organisations and assessors
  • Schedule invigilators
  • Report results and outcomes into our client's systems
  • Ensure effective and timely advice and guidance is supplied to students, staff and partners
  • Be fully conversant with the exams module and the links to other modules to optimise the use of the software
  • Assist in the control of the examinations budget by ensuring examination processes save costs through the reduction of unnecessary exam fees (particularly duplicate entries and late fees)
  • For Apprenticeship programmes, act as the client's named contact for specified Awarding Bodies and develop and maintain clear procedures manuals
  • Review and improve the procedures for tests and examinations to ensure efficient processes are in place
  • Jointly facilitate the introduction of new systems and procedures from Awarding Bodies for external/etesting/onscreen testing and embed new procedures across the client
  • Ensure availability of certificates and/or progress records are notified to learners on a timely and efficient basis throughout the academic year
  • The post holder will on occasion be required to work evenings and weekends, as agreed with their line manager, and to support the client at regular Open Events
  • Develop and maintain accurate filing systems and records for audit and information purposes
  • Perform the role of Exam Invigilator should circumstances dictate and follow agreed invigilation procedures at all times.

What skills the Exams Administrator are likely to have:

  • Maths and English GCSE
  • Willing to obtain or already have a:


  • DBS

  • safeguarding (Adult and Children) and Equality / Diversity Level 2 / GDPR
  • Office experience
  • Experience of working with Microsoft Office packages (Excel (spreadsheets and formulae), Word and Explorer)
  • Knowledge of effective administration processes and procedures
