Part-Time Receptionist

A leading trust, based in Belfast, are currently seeking a Part-Time Receptionist to join their team.
This is a Part-Time, Permanent Position

Working hours:
(25 hours per week) - Monday to Friday: 10am - 3pm

With a salary of £15,873 - £16,886 per annum (FTE £22,223 - £23,641) plus excellent benefits


Job Role:


You will be responsible for providing a high level of customer service and support to supporters, volunteer's groups, members of the public and internal customers, being the first point of contact for all visitors to the building while maintaining receptioncover.


Essential Criteria:


  • Previous experience of working within a customer service environment
  • A levels/equivalent qualification or relevant professional experience which demonstrates equivalent academic skills
  • Excellent IT skills, in particular Microsoft Office and CRM databases
  • Experience of the processing and management of personal data under current GDPR regulations
  • Good attention to detail and accuracy when recording information and data
  • Excellent communication skills both written and verbal with the ability to communicate with stakeholders at all levels
  • Ability to manage and prioritise your workload

Main Duties and Responsibilities:


  • Provide a high level of customer service through all channels of communications
  • Provide reception cover and be the first point of contact for all visitors to the building and assist as appropriate
  • To respond to supporters by any method of communication to nurture, build and maintain relationships, whilst delivering excellent customer service
  • Work within set SLA's and standards for all services provided
  • Ensure that all external and internal contact is dealt with in a way that either meets or exceeds the customer's expectations
  • Support with supporter or members of the public's feedback and complaints through to resolution
  • Record supporter data
  • Provide an excellent customer service focused inbound and outbound telephone service
  • Support with the inbox
  • Manage the appointments for our team of volunteer counsellors
  • Coordinate the attendance lists for all activities and track attendance numbers
  • Provide admin support
  • Manage room bookings for both internal and external customers
  • On a daytoday basis, ensure that the Centre is fully functional, consumables stocked, faults and enquiries resolved efficiently and generally kept in good order and compliant with Health and Safety requirements
  • Manage the information leaflet stocks and order supplies when required
  • Support the NI team's admin requests such as printing, bulk mail outs, leaflet designs
  • Support the NI team's event management requirements
  • Provide support to maintain all necessary Health and Safety requirements
  • Ensure that all post is opened, sorted, scanned, and distributed to the relevant team member
  • Provide an outgoing post and packaging service
  • Ensure that the franking machine is kept topped up
  • Receipt cash and cheques received in the pos
  • Responsible for the effective use of financial and other resources
  • To undertake any other duties
