We are currently seeking an Administrative Apprentice to join our dynamic team at Greenwich Living Options, a leading provider of social care services.

As an Administrative Apprentice, you will play a vital role in supporting our team in monitoring and planning services, ensuring efficient operations and excellent customer service.

This is an exciting opportunity to gain valuable experience and develop essential administrative skills within the social care sector.


Key Responsibilities:


  • Arrange monitoring meetings and visits to services, preparing necessary documentation and maintaining monitoring logs, spreadsheets, and document templates.
  • Organize regular meetings, such as GLO managers meetings and Person in Control (PIC) meetings, including booking rooms and providing assistance to managers involved in specific projects.
  • Provide support to the team administrator in producing letters, reports, minutetaking, photocopying, and other officerelated tasks.
  • Effectively handle telephone calls, providing clear and precise information, problemsolving where necessary, and maintaining effective communication with colleagues.
  • Accurately record and support managers in entering COVID testing data.
  • Receive and distribute internal and external mail to appropriate colleagues.
  • Support other team members as directed by management, prioritizing work accordingly.
  • Assist in maintaining accurate records of inhouse staffing and related information, liaising with Human Resources, Payroll, and Finance departments as needed.
  • Collaborate with the team administrator to produce monthly staffing budget monitoring records and resolve related queries with House Managers.
  • Maintain filing systems, both paper and electronic, ensuring easy access to information.
  • Collect, organize, and distribute mail to relevant officers.
  • Support the team administrator in managing and maintaining the team's standard templates and ensuring their accuracy and uptodate status.
  • Assist in maintaining logs of PIC inspections, outcomes, managers' action plans, and performance data supplied by House Managers.
  • Assist in monitoring and reporting income and expenditure, providing information as required.
  • Undertake other administrative tasks as requested by the Residential Resource Manager and/or Development Manager.
  • Utilize information technology and word processing packages to prepare and distribute reports, agendas, statistics, spreadsheets, and other correspondence on behalf of the Residential Resource Manager and/or Development Manager.
  • Prioritize work to ensure deadlines are met.
  • Take responsibility for the quality and accuracy of own work.

Person Specification:


Experience/Education:


  • GCSE/CSE English and Maths or equivalent experience demonstrating the ability at this level.
  • Experience using windows and other computer systems for input and extraction of information.

Knowledge/Skills/Abilities:


  • Ability to prioritize and manage workload effectively.
  • Able to work to deadlines with minimum supervision.
  • Proficient in taking notes at meetings.
  • Familiarity with computer software, including Word and Excel.
  • Strong organizational and planning skills.
  • Confident and professional communication, both written and verbal.
  • Clear and concise speaking abilities, with the ability to deal with people facetoface and over the telephone.
  • Ability to contribute to producing clear and concise reports as required.
  • Capable of preparing, collating, and distributing information within specified timescales independently.
  • Awareness of Health and Safety issues.

Job Types:
Full-time, Temporary contract

Contract length: 4-6 months

£15.33 per hour
