The Marketing Academy Foundation is delighted an apprentice role at Hotel Chocolat as a
Brand Activation Assistant.

If you are super-organised and a tenacious problem solver who loves being in the thick of it, this is the role for you.


Role overview

As Brand Activation Assistant for all events and activations, you will be responsible for managing the administrative tasks required to make the events and activations happen.

You will work across both Hotel Chocolat led events and partner activations, working closely with the teams for these areas.


Job role and responsibilities

  • Manage the booking system to ensure all event bookings are captured and audience size and type is clear to the event lead.
  • Maintain the 'Chocmobile' maintenance and mechanics, cleaning etc. ensuring we are legally compliant, safe and delivering high brand standards.
  • Create a process for raising POs and ensure all spend in the activation team has a valid PO raised before activity is committed to or items/services purchased.
  • Own the ordering process for event collateral and props, ensuring all items are delivered according to the event schedule and to the correct location.
  • Own ordering stock for events where we're selling Hotel Chocolat products, working closely with the Senior Brand Activation Manager to ensure correct forecasts and restock processes are followed.
  • Purchase or hire appropriate event equipment where needed, ensuring the best price is paid and suppliers are approved by Procurement.
  • Coordinate logistics for event activations with partners e.g. delivery of props/collateral and stock.
  • Support at events where required.

Skills and experience
Essential

  • Good communication skills
  • Strong in organisation skills and managing project plans
  • Strong administrative skills on tasks like running a calendar, raising purchase orders
  • Confident and able to use own initiative to get tasks done
Desirable

  • Previous event experience or hospitality
  • PA or administration experience

Education level
This role is open to grads and non-grads.

But, it is NOT open to people with a degree in marketing/advertising/media/PR/event marketing or Business Studies as it is a Level3/4 Apprenticeship.

Location, salary etc.
Hotel Chocolat is based in Royston, Essex.

You will be expected to come to the Royston office 1day a week and our subsidiary office in Whitechapel, 1or 2 days a week.

You will have the freedom to work from home 2 days a week.

The role is for 15 months, and the salary is £21, ,600
