Description
We are looking for a Facilities Administrator on a 12 month fixed term basis.


The role you'd play:

  • To be responsible for processing and logging reactive work orders logged via telephone, in person or mailbox on CAFM from inception to completion, providing good customer services, ensuring each job is managed with its assigned priority and service levelagreement
  • FM Helpdesk management, monitoring jobs and responding to jobs requests, including proactively and reactively with staff and supply chain partners to ensure business requirements and customer expectations are met, meeting agreed service levels and standards
  • Assist with reviews of Risk Assessments
  • Support the facilities team in delivering consistent and effective service across the site
  • Provide administration support and assistance to the facilities management team
  • Ensure effective communications are maintained with:
  • Internal customers, managing expectations at all times by communicating expected activities and resolution timescales, advising of any delays in meeting agreed response times, supplier re-visits (e.g., if parts need to be ordered)
  • Raising of fixed and variable purchase orders for supply chain
Contractor Safety Management


Support the team to:

  • Maintain the safety management system for contractors, including induction processes and permits to work
  • Ensure that reviews of all third-party Safe Systems of Work are undertaken
  • Ensure all contractors have the appropriate accreditations, insurances, risk assessment and method statements and safe systems of work
Management of Statutory Compliance

Support the team to ensure full compliance of:

  • Follow up on completed works, chasing contractors to make sure all reports/or certificates have been received and uploaded onto Elog books

  • Proactive and highly motivated individual with a can-do attitude with a hands-on approach, a strong team player
  • Take ownership and accountability for work
  • Excellent communications skills, both written and verbal are essential
  • Have a positive customer service approach style to their work
  • Think creatively and pragmatically in resolving problems
  • Intermediate knowledge of excel and word
  • Experience of working within CAFM/Helpdesk environment
