KEY DUTIES / RESPONSIBILITIES
The post holder will be required to carry out a range of duties which may include all or some of the following:

  • 1. To maintain and update the Hospitals computerised system e.g. eEMS (electronic Emergency Medical System) including the registration of patients attending the Emergency Department, linking details with the Patient Administration System (PAS) and the Health & Care index, amending and up-dating where necessary, ensuring accurate patient demographic details are recorded.
  • Organising and prioritising own workload on daily basis within the ED reception. Processing and collating information whilst dealing with frequent interruptions, re-prioritising workload where necessary. Dealing with indirect, distressing or emotional situations.
  • Monitoring patients on arrival and bringing to the attention of the Multi-Disciplinary Team those who are too ill to await triage, e

g Patients requiring priority ECG:
Infectious Diseases Protocol; Stroke patients and Head injuries - using initiative where required. Following protocol regarding patients attending with possible exposure to hazardous substances in accordance with training received. Monitoring patients whilst in waiting room.

  • Validation and verification of all records, which will then be photocopied accordingly and prepared for posting to patient's GPs and Health Visitors.
  • Scanning of Records relating to each patient attendance into eEMS and resolving scanning issues.
  • Booking appointments using eEMS, PAS or telephone.
To maintain filing systems both electronic and manual for patients' records.

Checking files for missing records and recording same to help and assist in the safe, confidential, storage and disposal of same whilst complying with legislation pertaining to Health Records.


  • To respond effectively and efficiently to telephone enquiries and personal contact with the general public and other visitors to the Department.
  • Informing patients of any delays whilst delivering a high level of patient service.
  • Helping ill, elderly and disabled patients, including organising patient transport by taxi.
  • Management of all patients' relatives and queries within the Emergency Department which may sometimes be highly emotive, difficult or stressful. Locating the patient within the department on the eEMS and informing and liaising with nursing staff and or Patient Trackers to accompany relatives to the patient's location.
  • Deal with vulnerable and sometimes difficult individuals on a case by case basis.
  • To process, pull and prepare patient notes for clinics, and all other duties pertaining to the clinics.
  • Completing patient admission details efficiently on PAS for patients admitted to wards when required.
  • To provide training and induction to staff as and when required - acting as a mentor for newly recruited and less experienced staff, displaying good leadership qualities.
  • Monitor the performance and running of the eEMS and report any issues to the Line Manager or Trust IT Department, ensuring that accurate and timely links are established.
  • Use of VDU equipment continuously for significant proportion of the day.
  • Report any IT or equipment faults to the relevant department and ensuring record is kept for follow up.
  • Ensure appropriate levels of stock are maintained.
  • To work with the Line Management by participating in the Trust Appraisal Process so that personal development opportunities are identified and realised including attending all mandatory training and staff meetings and make constructive suggestions regarding departmental improvements.
  • Improve services provided by evolving in a changing environment with advancing systems.
  • Under the new GDPR legislation post holder will have to deal with both verbal and written requests for personal information and forwarding the requests on to the appropriate team.
  • Preparation and transportation of medical and other records.
  • Completion of travel expense forms for patients.
  • Participation in the implementation of the South Eastern Trust Major Incident Plan, including contacting off-duty reception staff for assistance in the absence of Admin Team Leader or Administration Services Manager.
  • Assist with the development and review of departmental procedures and documentation.
  • Any other duties that may be assigned.

Criteria:
Experience in the use of Microsoft Office Products including Word.

Ability to work as part of a team.

Effective communication skills to meet the needs of the post in full

4 GCSEs at Grades A-C including English Language and Maths or equivalent and 1 years' experience in a public facing admin and clerical role

OR

2 years' experience in a public facing admin and clerical role.
