    Job summary

    Main duties of the job

  • Maintain highest level of confidentiality and comply with data protection standards when handing patient related and other confidential/sensitive data.
  • As a paperless office, there is the utmost importance to scan all correspondence onto electronic patients medical record, using the SystmOne database and to ensure that clinical coded entries are entered appropriately and accurately.
  • Undertake a variety of administrative duties to assist in the smooth running of the practice including opening of the post, clinical coding, scanning and filing.
  • Facilitate effective communication between all staff members, patients, members of the primary health care team, secondary care and other associated parties.

    Job Summary:

    Undertake a variety of administrative duties to assist in the smooth running of the practice including opening of the post, clinical coding, scanning and filing.

    Facilitate effective communication between all staff members, patients, members of the primary health care team, secondary care and other associated parties.

    Participate in the co-ordination of the fire drills to comply with health and safety regulations.

    Job Responsibilities:

    Administration

  • To have a thorough knowledge of all practice procedures.
  • To work in accordance with written protocols.
  • Time management and prioritising workload.
  • Opening post and distributing accordingly.
  • Discharge summaries.
  • Coding and scanning of documents as requested.
  • Coding of sensitive and confidential information onto the GP database.
  • Summarising and read-coding of new patients previous medical records.
  • Computer Skills

  • General computer skills.
  • Knowledge of Microsoft.
  • Telephone

  • Have working knowledge of the telephone system.
  • Take calls from both patients and work colleagues or third parties and deal with their enquiry in a friendly, polite and professional manner.
  • Other Tasks

    Duties may be varied from time to time under the direction of the Operations Manager/ Patient Services Manager/Area Manager, dependent on current and evolving practice workload and staffing levels.

    Qualifications

    Essential

  • Good standard of education.
  • Desirable

  • Customer Service qualification.
  • Experience

    Essential

  • Customer Service Skills.
  • Experience of working in a busy & multi-functional team.
  • Desirable

  • Using Systm One (Clinical database).
  • Experience of working within a GP Surgery.
  • A minimum of three years' experience in a customer facing environment.
  • Experience of handling confidential information and data.
