The role


As a Personal Assistant (PA), you will work closely with the Managing Director (MD) to provide administrative support on a one-to-one basis, both professionally and personally.

You will play a pivotal role in helping them to make the best use of their time, and prove invaluable in helping support with the day-to-day running of the business.


  • Please note, this role will require regular travel in and around Cheltenham, including to our Cheltenham Head Office and the MD's house. A pool car will be made available for all travel._

Your responsibilities as a Personal Assistant will be:

Diary Management & Planning:

  • Be responsible and proactive for all diary management, both personally and professionally.
  • Research and document preparation for meetings and events.
  • Arrange all travel and accommodation for both business and personal.

Personal:

  • Be responsible for the purchasing and returning of goods.
  • Keep track of banking activities and pay invoices when required.
  • Be responsible for some of the coordination of the smooth running of the MD's home this includes dealing with utility companies, cleaners etc.
  • Liaise with multiple external stakeholders, both in the UK and abroad.
  • Book personal appointments.
  • Run occasional errands, e.g., collecting dry cleaning.

Support & Administration:

  • Book, prepare and set up internal and external meetings. Including catering as and when required.
  • Support with and prepare PowerPoint presentations.
  • Assist with Group wide project work and general administration as required.
  • Collate 11's and PDR's for the MD's direct reports and manage holiday requests and expenses.
  • Collate and submit the MD's expenses monthly.
  • Input commission, bonus, and overtime information in to Excel monthly.
  • Take notes and document actions from meetings.
  • Arrange the annual company Dubai trip.
  • Coordinate the 6 monthly BSI/ISO audits e.g. booking meetings, circulating minutes and actions

About you

  • Demonstratable experience in a PA and/or highly administrative role.
  • You will be highly organised, resilient, and proactive towards your work.
  • Demonstrate flexibility and showcase the ability to work under pressure and to tight deadlines.
  • The confidence to build partnerships and engage with a variety of stakeholders, including Directors and employees across the Group.
  • Be of an approachable nature always demonstrating professionalism and confidentiality.
  • You will flourish in an environment where you will work independently and as part of a team. This role also involves working closely with the People & Culture team.
  • Excellent communication skills with the ability to adapt at all levels.
  • A diligent attitude to work with exceptional attention to detail.
  • Competent in Microsoft Office packages, including Power Point
