Description

Are you a creative, self-starting problem solver with an eye for detail?

We're looking for someone who will relish the challenge of creating and managing a wide range of fundraising events for me&dee Charity.

Whether you are organising a quiz night, finding runners for the Derby 10k, helping our wonderful supporters in their fundraising efforts, or planning, promoting and managing our prestigious annual ball, this really is a job in which every day is different, and every penny we raise can make a real difference for families with short and uncertain futures.

We are looking for an experienced and enthusiastic Events Coordinator to join our team. Ideally you will have experience of working on events of all sizes, including sourcing sponsorship and donations.

You must be able to work independently, generate ideas and solutions to create unique event experiences, and have high-level computer skills.

This is a hands-on role and will occasionally involve working outside regular office hours, and at weekends.

The role will also involve day to day office-based tasks, and there will be some travel required to visit suppliers, venues and events, therefore a full UK driving licence is essential.

Essential Skills

  • Previous experience of fundraising, event management and administration from concept to postevaluation
  • Meticulous organisational skills and attention to detail, and a cando attitude
  • Previous experience of raising corporate sponsorship for events.
  • Previous experience of managing social media platforms, and building relationships with local media
  • Flexible in approach, and able to adapt quickly to the needs of a small team.
  • Ability to work independently without supervision, and use creativity and initiative to solve problems and help others with tasks outside normal job role when needed.
  • Excellent written, verbal and interpersonal communication skills.
  • Excellent numerical and data entry skills, and Microsoft Office proficiency (Excel, Powerpoint, Word).

Desirable Skills

  • Previous experience of working in the charity sector would be an advantage.

Main Duties and Responsibilities

  • Organise, manage and promote profitable fundraising events, from first concept to postevent evaluation, ensuring the highest standards of professionalism and care at all stages of event planning and delivery.
  • Identify, approach and persuade sponsors to support events, so that every event achieves maximum available funding. Liaise with sponsors to ensure they feel valued and appreciated for their support throughout the planning, delivery and postevent periods.
  • Identify, book and liaise with other suppliers, including entertainers, photographers and caterers as appropriate, to create truly unique experiences for participants.
  • Promote events on social media, local press, radio and other channels to ensure ticket sales targets are achieved for each event, within agreed budget.
  • Be the main point of contact for ticket sales, ensuring a robust and efficient process for administering sales, and an outstanding guest experience from first contact to the end of an event.
  • Source, create and distribute event packs for all participants, containing event details, instructions, and promotional materials.
  • Combined management of volunteers at each event, ensuring they have the resources and materials they need, and are clear on their roles and responsibilities.
  • Maintain excellent relationships with all key partners, including me&dee management, venues, hosts, sponsors, guests and volunteers, to ensure events run smoothly and achieve fundraising targets.
  • Create and implement appreciation strategies for sponsors, donors and customers.

General Responsibilities

  • Working with venues and organisers to ensure all events run smoothly.
  • Sourcing attractive, high value prizes for raffles, auctions and similar fundraising activities.
  • Processing all enquiries and ticket sales through to conclusion, ensuring that every enquiry and sale is registered and followedup in line with Charity procedures.
  • Maintaining detailed records of sponsorship and ticket sales, and taking part in regular progress meetings to ensure projects are on track.
  • Attendance at events, as agreed with CEO.
  • Conducting postevent evaluation to ensure continuous improvement
