PURPOSE OF POST:


The Deputy Examinations Manager will provide support to the Examinations Manager in the implementation and continuous improvement of all examinations processes required by the College.

The post holder will action the collection, distribution, and quality control of the College's examinations data, and ensure the effectiveness of the examinations cycle.


The Deputy Examinations Manager will provide advice and support to curriculum teams on quality assurance requirements, monitoring the impact and effectiveness of their actions.

Main Duties

  • Take responsibility for the accurate reporting of students' examination and registration entries in respect of the various awarding bodies, including the receipt, collation, distribution and recording of student achievements and certificates.
  • Drive continuous improvements in examinations functions, building and maintaining effective relationships with external examining boards and supporting improved use and recording of data.
  • Alongside the Examinations Manager, act as a point of contact for curriculum staff for the submission and maintenance of all necessary examinations information, including base data, timetables and registers documentation, files and records.
  • Supervise the maintenance of accurate and up to date records as required for the administration, reporting, evaluation and audit of the College's funding and compliance claims in relation to examinations and achievement.
  • Assist in the preparation and management of examinations, ensuring all exams are conducted to JCQ standards and that all reported access arrangements, reasonable adjustments and special considerations are processed accurately and timely.
  • Work proactively with Quality colleagues to plan and publish a quality assurance cycle to support timely and accurate actions to record both achievement and DfE Performance table results.
  • Monitor the work undertaken by Exams Officers, identifying areas for improvement and providing feedback and support on performance.
  • Mobilise additional crossCollege support at peak exam times to ensure a seamless and highquality experience for all students.
  • Liaise with staff and students to deal with complaints and queries about all examinations.
  • Be responsible for ensuring that examination papers are securely stored as they arrive, in accordance with JCQ regulations.
  • Recruit, train and manage a sufficient bank of exam invigilators to meet examination needs, ensuring safeguarding requirements are always met.
  • Maintain the invigilation timetable for examinations and provide information to the appropriate people in a timely manner, e.g., dates/times of examinations and the number of entrants.
  • Identify and make appropriate provisions in the event of exams clashes.
  • Brief students on examination procedures and conduct and produce guidelines for staff and students.
  • Provide relevant statistics on examination entry and examination results to the Senior Leadership Group, as required.
  • Take responsibility for checking certificates before they are handed to students.
  • Retrieve costs of examination entry from absentees and arrange for remarks, reports and queries about exam results from the examination board.
  • Be present and accessible on the days the College is notified of results.
  • Work with the Systems Development Manager to undertake an analysis of all examination results when the College is notified, informing the Senior Leadership Group as soon as administratively possible.
  • Attend appropriate College meetings, including staff briefings and development days.
