Grafton Recruitment are now seeking to appoint an experienced Administrator to our Public Sector client based in Worthing.

The Administrator will provide effective day-to-day clerical support to facilitate the smooth running of the admissions service, underthe direction and supervision of senior colleagues.

The Administrator will be responsible for data entry to facilitate patient procedure and outpatient appointment booking, the movement of case notes around the organisation, and reception duties.


Duties of the Administrator

  • Answer the telephone in a timely and courteous manner, ensuring appointments are made efficiently, whilst dealing with the public in a professional and sensitive manner.
  • Demonstrate professional and helpful sensibilities when interacting with other staff members.
  • Make all referral appointments in accordance with the templates and in line with the organisation.
  • Negotiate with patients to book a suitable appointment, dealing sympathetically in sometimes difficult situations, whilst adhering to booking processes.
  • Ensure each patient is loaded onto the correct waitlist with the appropriate procedure code.
  • Ensure patients are booked to correct theatre lists by discerning the requirements from booking forms.
  • Ensure up to date clinic lists are complete with current patient details and all relevant paperwork for appointments are available on the day.
  • Ensure the patients mutually agree to date and time of their appointment within the set timeframe.
  • Direct patient contact on reception.
  • Deal with enquiries and issues escalated in an efficient, polite and courteous manner.
  • Handle difficult situations in a calm and professional manner, escalating to line management as appropriate.
  • Take shared responsibility for the collection, preparation of and maintenance of patient case notes for theatres and clinics.
  • Provide case notes for validation and audits.

Role Criteria

  • Numeracy and literacy skills.
  • Previous administrative or clerical experience.
  • Experience dealing with patients and customers either personally or on the telephone.
  • Previous Public Sector experience is desirable.
  • Good interpersonal skills.
  • Good negotiation skills.
  • Excellent telephone manner.
  • Good verbal communication skills.
  • Keyboard skills and computer experience.
  • Experience of working in a busy environment with conflicting priorities.
