A bit about the role
To contribute towards operational excellence within the team to ensure consistency and standards are maintained.

Working to support and develop the client teams via the creation of operational processes and by review of existing processes in line with client guidelines and to assist the event team with logístical and administrative tasks to support event planning.


What will you be doing
Project/Operational Management

  • Responsible for maintaining and reviewing client SOPs and implementing KPIs to measure performance
  • Assist in organizing team events and meetings
  • Management of all system maintenance with a focus on data on client's systems being accurate and up to date
  • Completion of H&S documents for all meetings and events

Client Liaison and Development:

  • Liaise with the client regarding current processes and cascade any relevant information to the project team
  • To fully understand changes within client requirements and work with the team to proactively implement solutions for the client and project teams
  • Monitor project team activity in line with client contractual obligations and work with the Associate Account Director and Account Manager to provide effective solutions to improve performance (working smarter not harder)
  • Preparation of critical information and materials for client review, audit and planning meetings

Financial Management:

  • Maximize the efficiency of the team resources and time management, to ensure optimum net margin
  • Ensure that cost avoidance and saving measures are identified, quantified and reported
  • Ensure compliance with company and client invoicing processes
  • Support the approval process of all budgets and final accounts to ensure accuracy as well as adherence to internal and external processes
  • Support the team in additional financial management of projects, to include but not limited to, commission reclaim and VAT pack creation

Staff Development, Motivation and Management:

  • Assist the Associate Account Director and Account Manager with delivering sharing best practice sessions and refresher training as appropriate
  • Work within your peer group to ensure consistency across the operations team

General:

  • Attendance and contribution at team meetings
  • To work with appropriate support departments to ensure the effective delivery of client KPIs
  • Ensure compliance with all company and client policies and procedures
  • Comply with all client and company privacy and security protocols
  • Achieve all client and/or company driven service level agreements (SLAs) for all events
  • Assist new starters by taking on the role of 'Buddy' when required
  • To achieve quality and accuracy of output in line with company processes and client expectations
  • To organize, plan and prioritize own workload to meet objectives and deadlines

What do you need to have

  • Operational background or experience preferrable
  • Strong detail focus
  • Accurate written and verbal communication skills
  • A focus on accuracy, consistency and dedicated to customer service
  • Intermediate level Excel, Word and PowerPoint skills
  • Ability to work within a team as well as independently
