    Job summary

    We are looking to recruit a highly motivated and enthusiastic individual to provide comprehensive administrative support for the Pre-Operative Assessment service. You must have good all round administration skills, excellent interpersonal and communication skills with customer service experience and be computer literate with a working knowledge of MS Office. You will have attention to detail and the ability to prioritise incoming work so as to meet deadlines. With a strong emphasis on customer service, you will have good interpersonal skills and the ability to liaise with people at all levels.

    Main duties of the job

    Working within our small yet fast paced team, your main responsibilities will focus on the booking of pre-operative assessment appointments for our patient's. Maintaining excellent communication with your pre-operative assessment nurse colleagues and wider surgical directorate teams.

    JobSummary

    Accountableto the Directorate Manager for the day-to-day management of the Pre-OperativeAssessment reception

    Thepost holder will be expected to be customer focused and to use the PASappointment/Clinical Data System, paying particular attention to the get itright first time philosophy and #CallMe initiative.

    Youwill have the ability to work on your own initiative and be an effectivecommunicator with all levels of management

    Key Duties

    Patient Care

    Settingup and maintaining an appointment system for the department, ensuring all availableclinic slots are filled using PAS and Synopsis and by following thePre-Operative Assessment (POA) process.

    Greetingand directing patients within the department for POA or Anaesthetic clinic (tocover annual leave/sickness).

    Checkingand updating PAS details with a focus on the #CallMe initiative.

    Answeringtelephone enquiries and referring to the appropriate senior member of staff ifunable to help.

    Recordthe patients attendance to clinic and outcome their appointment on theirdeparture

    Notifyconsultant secretaries of DNAs via the agreed proforma

    Escalatingshort notice requests to the capacity co-ordinators appropriatelyand working on a resolution alongside the nursing team.

    Preparingnotes/admission packs to support trained staff

    Ensurethe smooth daily running of the Pre-Operative Clinic reception desk andtraining any junior staff in all aspects of customer awareness

    Ensurestaff are trained and monitored in the effective use of the PAS/OutpatientAppointments and Clinical Data System, providing update/refresher training asrequired.

    Monitordata quality alerting PAS/IT Trainer of staff training needs.

    Ensureclinic numbers/rules are updated and all staff are aware of the changes

    Liaisewith the PAS Co-ordinator regarding OPD/PAS appointment fault, systemavailability etc

    Assistany patients who wish to complain, completing a minor complaint form asnecessary or bring to the attention of the Nurse in Charge

    Liaisewith the Capacity Co-ordinator when booking annual leave

    Liaisewith the information Department to enable the collection of correct informationfor contracting.

    Liaisewith ambulance control for ensuring the patients return journey home isscheduled

    Participate/facilitatepatient surveys on request

    Assistin altering clinics and informing patients

    Monitorthe Envoy system for patients response to text messages and action wherenecessary to amend appointments and speaking with patients if clarification isrequired.

    Liaisewith the Anaesthetic department, where necessary, to co-ordinate patientappointments and minimise the number of visits to the hospital.

    Maintaincore knowledge of both Synopsis and the POA process and how this impacts on thebooking of appropriate appointments

    Provideregular feedback and updates to secretaries, booking co-ordinators anddirectorate team not utilising the SOP to request POA appointments

    Workas part of a team to regularly review and update necessary appointmentletters/information relevant to the department.

    Knowledgeof the Band 4 Capacity Co-ordinator role and ability to step up in times ofleave/absence.

    Maintainstrong professional relationships with the POA nursing team and Senior Sisterfor the department.

    Anyother duties within the grade of the post as required by the Directorate manager

    Education and Training

    Maintainknowledge of Trust administration systems such as PAS

    Attendmandatory Trust training

    Maintainknowledge of Microsoft office and its importance within the department.

    Tocomply with all Trusts Policies and Procedures

    Toreport any accidents, untoward incidents and complaints.

    Ensurepost delivered to the clinic is distributed accordingly.

    Person Specification

    Experience

    Essential

  • Previous clerical training or experience
  • Previous experience dealing with patients or members of the public
