Temporary Works Coordinator / Admin - Housing & Property Services

Role Length:

This opening assignment is for 2-3 months A Works Coordinator is required to assist with voids administration and planning works.

To support the Repairs Service with the scheduling of appointments for repairs work over a period of days to weeks to ensure that mobile workforce resources are used efficiently.

To provide a high quality, customer focused administrative service within the repair's operations, liaising with subcontractors and workforce across multiple trade disciplines.


Key responsibilities:

  • Comply with all regulatory guidelines e.g. financial and audit regulations, standing orders, in ordering and processing repairs.
  • Take full responsibility for the efficient administration of the mobile workforce scheduling system.
  • Work effectively and efficiently and liaise with residents and operatives to make sure that repairs are scheduled and attended to within time
  • Maintain accurate records and provide reports from various digital systems relating to all aspects of the work areas as required.
  • Ensure that the operatives communicate in a timely and accurate manner about the progress of work, in order to schedule their work in view of resident's requirements.
  • Reschedule jobs in the event of an unplanned absence of an operative, and contact the resident directly to agree any changes.
  • Communicate any changes/updates directly with the effected resident and the operative.
  • Communicate with Supervisors/Manager about matters of work quality, timeliness and potential HR issues concerning the operatives.
  • Manage the activities of operatives to ensure that they keep their appointments.

Experience & Knowledge:


  • Experience of working within a repairs and maintenance environment.
  • Experience and knowledge of dynamic scheduling and or system generated appointment scheduling.
  • Knowledge of local authority and or social housing repairs operations desirable.
  • Administration and planning experience.
  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.

Skills:


  • Excellent communication and interpersonal skills, demonstrating empathy and understanding.
  • Ability to plan, organise and prioritise.
  • Able to work constructively to build relationships with others including those outside of own team to achieve objectives.
  • Computer literate and able to create reports and spreadsheet.
  • Ability to prioritise workload, to meet deadlines and to conform to administrative requirements.
  • Ability to work accurately, efficiently, methodically and in a timely manner, demonstrating effective self management, organisation and administrative skills.
  • Strong IT skills using Microsoft packages or equivalent (e.g. G Suite).
