What will you be doing?


You will assist the Trustee Services Manager within the Veolia Pensions Department (VPD) in managing our service delivery from the Trustee's external advisers and lead on working with our Third Party Administrator (TPA), Auditor, Legal adviser and all Communications agencies.


Having regular calls and meetings with the TPA, this will include Monthly Operations calls, quarterly meetings and reviews of Quarterly Stewardship Reports, as well as monitoring monthly SLA performance.

You will also manage as required any contact with the Pensions Regulator, HMRC and other regulatory bodies including monitoring of PPF Levies and submitting Scheme Returns in Q1 2024.


You will assist the Trustee Services Manager in the delivery of Trustee Secretariat services for two Defined Benefit schemes including minute taking at Board meetings, preparing meeting papers, the production and issue of Trustee Monthly Reports and the monitoring of Trustee Action Points.


Oversight of the preparation of the Trustee Report & Accounts including management of the Audit and deliverables from TPA and the Auditor.

You will also manage the Trustee Indemnity Renewal process (supported by our internal Insurance & Risk Team).


You will be the lead on the Trustee's member communications policy liaising as required with the Veolia Comms Team and external comms specialists.


You will also have the chance to oversee Veolia's preparation for the new Dashboard facility being introduced by the DWP.

This is in respect of all pension schemes managed by VPD.

Acting as lead for any other Trustee responsibilities in Key Projects which may fall under this remit e.g. MNT Selection Exercise, Trustee Effectiveness Review, will also be required.


What are we looking for?

  • Proven experience in Defined Benefit Trustee Secretariat, regulatory compliance and supervising work of junior team members is essential.
  • IT literacy, including at least intermediate skills with Excel and Google Sheets are required, and any exposure to Workday would also be highly advantageous.
  • Organisational skills and the ability to work to strict deadlines.
  • Accuracy and attention to detail.
  • Strong interpersonal skills are required to liaise confidently with other parts of the business
  • Ability to influence and negotiate positive outcomes
  • An individual with excellent communication and interpersonal skills to provide industryleading customer service to all internal and external customers.
