McCrae Training is in our 12th year of trading and as a direct result of securing a number of new contracts we are delighted to be expanding our team.


Operating from our HQ in East Kilbride and multiple sites across the UK, Northern Ireland and Southern Ireland we provide high quality Utility, Construction and Oil and Gas training & professional consultancy services.


Main Purpose of Planning Coordinator Role:
This position plays a key role in the smooth operational planning and scheduling within the company.


The role of Planning Coordinator requires highly proficient organisational skills to effectively plan, schedule and co-ordinate planning of all revenue streams across the business.


We are looking for someone who is passionate about their work, dedicated and resilient in dealing with challenges and supportive of their colleagues.

The role supports various functions across the business to achieve and exceed performance targets.


Key Responsibilities
and Accountabilities:


  • Analyse jobs, both reactive and planned, and allocate the correct resource based on location, skill, priority, and customer requirements.
  • Effectively process and plan customer enquiries from the Sales Department and manage suitable responses in a timely manner.
  • Maximise utilisation of Trainer/Assessors and selfemployed resources to meet the requirements of clients and their staff development needs.
  • Analyse training courses, both reactive and planned, and allocate the correct resource based on location, skill, priority, and customer requirements.
  • Manage training calendars, schedules and communicate them to trainers.
  • Conduct Weekly Planning Meeting with Sales manager, Training Manager and Office Manager to report any planning and scheduling issues.
  • Ensure clear and concise quality updates reflecting true programme progress for Commercial Courses / Commercial VQs and Modern Apprenticeships.
  • Identify, analyse and improve existing processes to enhance the way we work as a team.
  • Prioritise numerous competing tasks; continuously monitoring the progress of workstreams whilst communicating any delays to the relevant people.
  • Effectively manage a significant workload in a fastpaced environment to complete Reactive, Planned and Statutory Training and Assessment tasks within Company KPI's and legislative requirements.
  • Work in conjunction with the Sales and Office Managers to ensure seamless management and delivery of contracts against client SLAs (Service Level Agreements).
  • Track WIP (Work In Progress) levels on all contracts ensuring timely completion of jobs.
  • Ensure any interactions with all customers reflects positively on the company.
  • Schedule and Plan tasks with customers in line with contract requirements.
  • Scheduling of Self-Employed trainers / assessors as and when required.
  • Work with all other departments to ensure availability of training / assessment resources taking account of annual leave, capacity, and utilisation targets.
  • Invigilation of exams as set out by the Awarding Organisation.
  • Carry out all work as set out within McCrae Training Code of Practice, Business Management Procedures and all other quality processes and procedures.

Special Circumstances:

Due to the nature of this role a full UK driving license is essential and travel may be required.


Knowledge and Experience:


  • 2+ years working within a Scheduling/Resource Planning environment
  • Able to demonstrate previous success within a busy Planning Office.
  • Excellent understanding and experience of Microsoft Office software packages and general IT knowledge along with experience of using database systems or other management systems.
  • Geographical knowledge within the UK.
  • Technical knowledge within the Utility Industry desirable
  • Commercial understanding and competence

  • Excellent organisational skills to schedule the daytoday workload for trainers / assessors ensuring most appropriate matching of skills and location to maximise efficiencies.
  • Extensive technical knowledge of utility sector and the governing legislative frameworks
  • Ability to identify and maintain standards required as a result of legislation, company standards, health & safety procedures to ensure consistency of approach
  • Demonstrate the desire to achieve results through focused approach and commitment, ability to keep going when facing challenges and works on own initiative
  • Possess the ability to maximise personal contribution to the business
  • Support and deliver positive changes to improve the service we provide to our cus
