This role entails


As the Workplace Services Coordinator, You will oversee the smooth and effective delivery of services within the Leeds workspace to ensure areas are ready for ITV colleagues and visitors to occupy or use at all times.

You will provide full administrative support to the Workplace Services Manager including maintaining records, audits, financial processes and collation of data for service delivery

This role will support the provision of effective facilities in response to the changing nature of production, business and stakeholder requirements, the management strategy and our 'Great Place to Work' ethos


Key responsibilities:


  • Monitor maintenance and cleanliness of all working areas, meeting rooms, breakout spaces and shared kitchens
  • Maintain the safety of the working environment through managing winter gritting and grounds maintenance contracts.
  • Perform regular housekeeping and fire safety audits of all buildings
  • Provide support to projects arising within the Workplace Services department such as office moves and refurbishments
  • Manage and maintain uniform stock levels for all of ITV's service partners and distributing uniform orders across the business
  • Escalate all and any faults in relation to maintenance, cleanliness, safety or building fabric immediately via the central Helpdesk system
  • Take ownership of any problems arising in the workplace providing local users with concise, ongoing information in relation to the situation through to resolution
  • Involvement with the planning and running of staff events and ITV internal business campaigns
  • Cover other tasks within the Workplace team as they arise due to holidays or sickness
  • Be an expert of ITV's evacuation and safety policies and perform a critical role in any emergency situations which may arise

To be considered for this opportunity you will need to demonstrate the Minimum role criteria:

  • Previous experience in a Facilities role is essential
  • IOSH qualification desirable
  • Working knowledge of appropriate workplace regulations and legislation e.g. Fire legislation, DDA etc

The Key role criteria is as follows:

  • Self-motivated and enthusiastic, with ability to communicate clearly and concisely at all levels, taking confidentiality into consideration
  • Strong computer literacy with some experience of Mac devices and Google Workspace an advantage
  • High level of integrity and excellent interpersonal skills
  • Strong Customer Service focus to all stakeholders
  • Able to prioritise competing tasks and demands on time and resources
  • Attention to detail and accuracy
  • Excellent organisational skills
  • Able to react well under pressure
  • Team player who can demonstrate flexibility in role in relation to changes emerging within the business
  • Previous experience in a facilities management role
  • Member of IWFM or similar organisation desirable
