_Recra are working in partnership_ with a bespoke manufacturing business who are looking to add a Project Administrator to their team.


As Project Administrator, you will support a team of Project Managers and Design Managers with a variety of responsibilities to ensure that our projects are managed with a premium service level, smoothly and efficiently for the benefit of both the customer and the business.

This will include the initial set up of projects right through to completion and aftersales care and commissioning.

As part of the Projects Department you will be supporting the client, the programme of works and the supporting the team to achieve the project within the given budget.

You will need to liaise with architects, main contractors, construction sites, installers and other external parties.


Main Job Role:


  • Attend project meetings, providing minutes and agenda as required including project handover meetings
  • Document control where required including uploading of drawings to portals and sample submissions
  • Support with site documentation such as risk and method statements using standard templates in conjunction with the Project Managers and any other health and safety documentation required by the client.
  • Create customer reports collating information to capture the stages the project is currently in and any outstanding items including samples, drawing sign off and variations outstanding
  • Updating customer portals and yearly subscriptions such as CHAS and PQQ's
  • Deal with reactive client queries as directed.
  • Support the team with reviewing and identifying any long lead time items which need to be procured
  • Compile O&M's on completion of each project including as installed drawings, certificates, user manuals etc and amending as required
  • Support the team with uploading and maintaining programmes in AX, following the project handover meeting if required
  • Support with maintaining the day to day running and updating of the Capacity Planning tool, including updating, adding new projects, adding updates for Production and adding orders
  • Working on individual projects to support the projects team as required
  • Compiling risk assessments and methods statements prior to teams going to site.
  • Review processes, procedures and documentation, updating when required.
  • To support the Project Director as required
  • Answering the external telephone and directing calls to the relevant department
  • Other administrative duties including but not limited to collating any outbound post and booking a collection/ opening post / scanning in documents / creating PP slides for bi weekly meetings.

Skills/Attributes required:


  • The ability to work in a team is very important, maintaining close relationships with the Design Managers, and Projects Managers. You will be required to file both electronic and physical documentation and maintain health and safety records in line with existing systems.
  • Previous experience working in a similar environment would be an advantage
