The Opportunity:
Office Coordinator


At HealthTrust Europe (HTE), we have an exciting opportunity for a Office Coordinator to join our thriving organisation, where you will be the first touch point for any visitors or colleagues and provide administration support to our Facilities Manager.

As an Office Coordinator you will:

  • Take ownership of the customer experience and greet customers and visitors to HealthTrust Europe in a welcoming and professional manner.
  • Organize and maintain the reception and communal areas.
  • Allocate staff parking and visitor parking spaces.
  • Manage the office meeting rooms for internal and external meetings and support the business in ensuring HealthTrust Europe's conference facilities are presented in a professional manner, including all catering requests for internal and external meetings.
  • Management of all office/colleague related travel (non executive) including Adhoc payments for items requested for All Hands and other team meetings.
  • Keep an inventory of stock i.e., beverages, photocopier, stationery, and any other adhoc items required as part of the Facilities function.
  • Update calendar invites and schedule in meetings as requested. Receive, sort, and distribute post and deliveries to colleagues.
  • Support the wider business in administration related duties
  • Purchasing items and equipment using our internal purchase order system.
  • Assist with cases assigned from Facilities, Maintenance, and the Executive Support team as required.
  • Assist facilities manager with diary management and storage of building inspection checks.
  • Support the Facilities Manager with Electronic file management of remedial and completed works as well as storage of all legislative documentation i.e., Public Liability Insurance, LOLER, Fire Audits/Drills, Accident/Incident and Investigation Notes for the mandatory periods as well as completed contractor work prior to them leaving the building.
  • Support the executive administration team and provide cover during busy times.
  • Assist with postal requirements, booking couriers and ensure that deliveries are given to the appropriate person within the business.
  • Ensure Accident boxes are checked and replenished where necessary.

KNOWLEDGE, SKILLS & ABILITIES

  • Strong Customer Service.
  • Ability to communicate clearly and concisely, in both written and oral form.
  • Works effectively with other employees and external parties.
  • Skilled at organizing tasks and projects in a timely and orderly manner.
  • Selfdirected and able to complete projects with limited supervision.
  • Ability to effectively handle multiple tasks and frequent interruptions.
  • High level of proficiency in Microsoft 365 Office (Outlook, Word, PowerPoint, Excel and Teams) and mobile telecommunications.
