    FigFlex Offices are looking for a Community Sales Manager to maintain high level office occupancy, customer service, client retention and to include marketing of prospects, enquiry promotion and development through sales and negotiation. You will deliver a building management function as directed by the Head of Facilities Management & also the Asset Management team playing an integral role in supporting the landlord and their tenants.

    You will have responsibility for the daily operation of the business centre with statutory legislation, health and safety and best practices delegating responsibilities for daily, weekly and monthly activities to the team, including general administration and client support and will foster and maintain relationships with contractors and suppliers. You will also liaise with the Facilities Management team to assist with delivering an exceptional service in the overall building.

    · Hours – 9.00 a.m. – 5.30 p.m. (Mon – Fri)

    The salary for this role is up to £35,000 per annum, however there is some movement/flexibility on the salary for candidates who have previous sales and management experience in property and serviced offices.

    Job Responsibilities:

    Sales and Marketing

    · Conducting viewings booked in by inbound sales team and owning process from viewing complete to deal done. The right candidate may also be required to cover Viewings for the Buildings Managing Agent FI Real Estate Management from time to time.

    · Ownership of outbound lead generation: networking events, proactive engagement with local market, building relationships, referrals etc

    · Building a network of key local contacts such as Local Agents/Brokers, Networking Groups etc..

    · Working with other departments, such as Central Sales and Marketing, to ensure the Business Centre is well-advertised

    · Self-generating leads through market knowledge, attendance of networking events and local networks

    Team Management

    · Manage the Centre Team who also provide Front of House for the Buildings themselves

    Team management duties and responsibilities will increase if any future expansion of the team is implemented, this will mirror Centre Management duties.

    Customer Service

    · Involvement in client move in / out procedures and completion of associated paperwork.

    · Ability to maintain a professional and customer obsessed culture.

    · Ensure preparation and maintenance of all client files / records.

    · Handling client enquiries and acting in a timely fashion, overseeing team dealing with day-to-day administration.

    · Facilitating the set-up of client's connectivity and telephony systems, providing support where necessary in conjunction with FigFlex Offices chosen providers.

    · Ensuring reception and all communal areas are welcoming, clean and tidy, safe and professional at all times.

    · Ensuring all meeting/training rooms are to a high standard in all areas of the provision, and all members of the team are fully training in the AV equipment to assist clients / customers.

    Maintaining Standards

    · Ensure all security procedures are always maintained.

    · Ensure all issues have been attended to in a timely manner, with progress and record of the outcome to include response times to all requests.

    · Ensure general housekeeping checks to all floors, kitchens and toilets are conducted to maintain a high level of cleanliness and ensure that full stocked kitchens and break out areas to include all health and safety elements daily, weekly, monthly.

    · Liaise with maintenance support providers regarding any building maintenance issues.

    · Implement and adhere to all company policies and procedures.

    · Regular meetings with Facilities and contractors such as cleaning, health & safety checks, and maintenance contractors.

    · Attend and potentially facilitate team meetings.

    · Weekly and monthly reporting into Head of Operations on centre performance.

    · Health & Safety implementation and management.

    Finance

    · Liaise with financial controller for matters relevant to payments.

    · Collaborate with Head Office credit control function to minimise debt

    · Liaising with client / financial controller on invoice queries.

    · Check delivery notes against supplier invoices.

    · Ensuring ad/hoc and monthly client billing is done in a correct, timely and efficient manner

    · In liaison with financial controller, escalating payments from clients in line with procedure.

    · Purchasing and budgetary control.

    · Enforce business policy / procedure for any non-payment or late payments.

    · Maintain margins and control expenses as detailed in budgets and business plans.

    Other duties and responsibilities may be required outside the above from time to time

    Competencies for the role:

    · Ability to delegate and monitor responsibilities.

    · Ability to conduct sales/viewing tour, negotiate and close sales for new prospects/occupants.

    · Possess strong problem-solving skills and lateral thinking.

    · Ability to represent FigFlex Offices at seminars, conferences, and business social events.

    Job Requirements:

    · Experience within the Serviced Office sector is highly desirable

    · Experience within the Property Sector is desirable

    · Demonstratable experience in a KPI driven Sales role is essential

    · Proven experience as a people leader is essential
