- Complete any administration tasks as required.
- Complete Site Security Checks and processes in line with requirements.

- Ensuring the correct visitor/security paperwork is completed
- Collation of weekly whereabouts and on call for the service
- Answering phone calls and dealing with any queries that may arise whilst also signposting the caller in the right direction to respective departments
- Booking in visitors, families and professionals visiting the hospital
- Redirecting and handling mail. Assist with deliveries ensuring no risk items enter the secure area.
- Ensuring the Reception area is maintained to a clean, tidy and professional standard
- Management of Staff Keys and Alarms at reception
- Provide cover to manage staff entry and exit from the building - Includes evenings, bank holidays and weekends
- Issuing and collection of keys to all staff passing through the airlock
- Ensure that site security is adhered to at all times.
- Ensuring that all staff and inductees are aware of protocols
- Undertake scenario testing on escapes, AWOL etc.
- Assists in management of any adverse events or drills - fire evacuation etc
- Assists in the searching of the grounds if required
- Check and support section 17 leave the patients exiting the building.
- Ensuring that security protocols are undertaken on patients return from leaves
- Organisation and management of stationary for the service
- Speaking to third party suppliers in regards to booking in site visits
- Handovers to other Receptionist to ensure correct and up to date information is relayed and passed on at the end of your shift
- Ensuring the correct Risk Assessments have been completed and up to date in the Reception/Front of House area
- Ensuring the correct insurance, HIW and NHS Wales certificates are up to date
- Liaising with Wards if any incoming calls coming in that are patient or ward specific
- Ensuring up to date forms and policies are being used within the Reception department
- You will be expected to provide cover and support to the wider team and site as and when needed
- General administration duties such as copying, laminating, posting and filing

Job Advert Role Description
To deliver an efficient and high quality service to guests, patients, suppliers and staff.
