    Job summary

    We are looking to appoint an assistantpractice manager to join our busy GP practice.You will be responsible for theproduction of performance and quality standards within the practice. To managedata quality issues, providing advice and guidance to all practice staff in theuse of the clinical system. To oversee the claims process for work undertakenas part of enhanced national or local services.

    Main duties of the job

    To act aspractice administrator for the clinical system and as practice co-ordinator forIT hardware issues, working closely with the ICO and Shared Services asresponsibility for computer hardware is transferred to the ICO.

    You will be responsible for the generaladministrative and oversea reception duties within the Practice and work withour established processes, policies and procedures to provide a comprehensive high-qualityservice and deal efficiently and courteously with patient enquiries.

    You will have excellentcommunication skills, a compassionate and friendly nature who can operate in a busyenvironment with a range of people and professions, as you will be working ourclinical and administration teams.

    IT skills are essential, as you willbe regularly creating searches, data input and monitoring our achievements andprogress against national, local, and internal targets. You will also process prescriptionrequests and provide a full administrative and secretarial service.

    This role is ideal for someone who ishighly organised and an effective communicator who can provide a professionaland warm welcome to our patients, ensuring every contact is of the highestquality.

    Job responsibilities

    Production of Performance and Quality Information

    To workwithin reception.

    Clinicalcoding from hospital letters.

    To be aware of national,local and practice quality standards for chronic disease management.

    To Maintainand recall patients from registers.

    To provide support toclinical sub-groups in correctly identifying and targeting patients forassessment and treatment.

    To ensure staff are awareof the importance of maintaining disease registers and assist in the validationprocess.

    To provide advice andsupport for clinical sub-groups and to produce regular reports on the progressof these groups in achieving their targets.

    To assist in theproduction of information for clinical audit as requested by the clinical sub-groups.

    Data quality

    To work with the ICO tovalidate patient information, performing regular checks and quality audits.

    To be responsible formapping patient information flows.

    To provide support andtraining for current and new staff ensuring that data quality guidelines areunderstood and adhered to.

    oPractice administrator forclinical system

    To ensure the clinicalintegrity of the system working with the ICO to implement their guidance.

    To oversee the security andvalidation processes for the clinical system.

    To provide advice and guidanceto the practice in the change to becoming paper light.

    To provide support adviceand training for current and new practice staff in the use of the clinical system

    Practice co-ordinator forIT hardware

    To maintain an equipmentlog ensuring that ICO and practice owned equipment is readily identifiable.

    To provide support andtraining for current and new staff in resolving simple problem with PCs andprinters.

    To liaise with GM ITsupport department to resolve other hardware and software issues.

    Deputise for the practicemanager in the practice managers absence.

    Contribution to the Implementation of Services:

    The post-holder will:

    Apply practice policies, standards and guidance.

    Discuss with other members of the team how the policies, standardsand guidelines will affect own work.

    Participate in audit where appropriate.

    Person Specification

    Experience

    Essential

  • Experience working with the public.
  • Experience at dealing with complaints from customers/patients.
  • Driving or delivering change within a business.
  • Desirable

  • Experience working in a healthcare setting.
  • Experience of working in Primary Care.
  • Some leadership experience (worked in and managed a team).
  • Health and Safety Management.
  • Hr Experience.
  • Qualifications

    Essential

  • GCSEs at grade C or equivalent (or 4-9), including English and Maths.
  • Training in administration/clerical duties at NVQ level or above.
  • NVQ Level 2/3 in Customer Services or Health Care or related discipline.
  • Desirable

  • Higher qualifications in Business/Primary Care Management.
  • Any other relevant qualification such as ILM, CMI etc.
