Bury St Edmunds, Suffolk


Working Hours: 40hrs per week, Monday to Friday, 8.30am-5.30pm


Position Overview:


  • The role of The Finance Officer is responsible for all the day to day financial elements of FEVACA.
  • You will report to the Directors and/or Office Manager.
  • The role will include directly completing tasks where necessary and ensuring that any staff are managed, have monthly supervision and annual appraisal.
  • The financial role will include raising and processing invoices, a purchase ledger, credit control and petty cash all via excel and Sage.
  • It also includes payroll and other day to day financial tasks, including liaising with clients.
  • The role requires the individual to be a key and bank signatory, processing payments as necessary.
  • Management accounting is an essential element of the role: Monthly budgets and reports are submitted to each department and these must be collated and disseminated accordingly with representations made at the meetings to ensure a good dialogue across departments at FEVACA.
  • Company data on finance profit and loss as well as weekly income and outgoings must be shared with the ops team regularly.
  • End of year accounts and VAT returns must also be submitted in accordance with HMRC requirements and any HMRC correspondence and inspections will be managed by this role alongside the directors.

JOB DESCRIPTION DETAIL:


INTERAGENCY WORKING:


  • Develop and maintain good working relationships with other professionals in local authority.
  • Offer support where necessary to staff on site at other Fevaca Houses.
  • Liaise with supplier accounts to achieve efficiency and quality.
  • Respond to Inspectors and commissioners where necessary.

FINANCIAL TASKS:


  • To ensure Sage bookkeeping is up to date and accurate.
  • Raising and processing sales invoices and ensuring they are completed in a timely fashion.
  • Processing cash and bank payments.
  • Ledgers are updated and credit control completed weekly.
  • Reconcile bank balances.
  • Process petty cash payments and arrange for finances to be sent/returned between Fevaca sites.
  • Payroll and Pension (including: HMRC submission and payments).
  • Act as Account signatory within Bankline / NatWest.
  • Forecasting.
  • VAT submissions.
  • Complete end of year and submit to Accountants.
  • Liaise with financial partners Hammond McNulty and FFM.

ADMINISTRATIVE TASKS:


  • Typing/copying.
  • Creating and maintaining filing systems; including electronic archive.
  • Scheduling and attend meetings, creating agendas and taking minutes (using online calendar).
  • Use content management systems to maintain and update websites.
  • Manage supplier accounts including ordering systems.
  • Managing post.
- organizing and storing paperwork, documents and computer-based information.


Management:


  • Critically appraise systems and develop planning with Directors.
  • Promote FEVACA positively to partner agencies and public.

PERSON SPECIFICATIONS:

Essential

  • Ability to represent the organization to outside bodies and those within local communities.

  • Knowledge of GDPR.
  • Experience of completing invoicing, purchase ledger and credit control.
  • Ability to manage issues relating to health and safety in the office.

  • Good standard of Microsoft Office and Sage.
  • Highly motivated, adaptable and able to work under their own initiative.
  • The ability to admit mistakes and ask for help and guidance.

Desirable Qualifications:


  • Experience of producing management reports and analysis.
  • Experience of VAT submission and end of year accounts.
  • Accounting / Bookkeeping or Management qualification.
