Job Details:


  • Role type: Fixedterm (12 months).
  • Location: Officebased role, Mon-Fri, 9am5pm, 35hour working week, at our Head Office at 65 Westcroft Square, London, W6 0TA, UK.
  • Eligibility: Must have longterm eligibility to work in the UK we cannot accept applicants with no eligibility to work in the UK.
  • Start date: Immediate start preferred.

Job Purpose:


  • To support a wide range of exams admin processes for MTS's exams, working alongside other Exams team colleagues, working flexibly across _all _areas of MTS's busy exams team according to business need.
  • To ensure all exams admin requirements are fully understood and implemented, to ensure all admin processes are uptodate, compliant and secure.
  • To work efficiently and effectively with a range of systems to ensure the smooth running of MTS's exams.
  • To support exam delivery and provide invigilation and invigilation support services.
  • To carry out additional administration and customer service tasks and activities according to MTS business needs.

Main responsibilities:


Exams administration

  • To provide administrative support to the Exams team, working to standards set by MTS and/or the exam boards, working always towards full completeness and accuracy of information, and to agreed policies, using a range of systems and databases.
  • To support all other Exams teams colleagues in a flexible way, providing support and receiving delegated tasks from the Exams Manager, working to a high standard to complete tasks quickly and effectively.

Test materials and data management

  • To ensure all pretest materials and equipment are managed in a manner that preserves the security and integrity of all tests, including incoming and outgoing deliveries and couriers.
  • To pack and unpack live test materials, eg test day materials, IAM equipment, examiner materials, training materials, monitoring documents, recording devices, compliance forms, etc. To crosscheck the work of other colleagues carrying out these tasks.
  • To carry out regular stock audits and coordinate stock control of test materials, equipment and stationery, under the supervision of the Senior Pre-Test Administrator.
  • To ensure confidential materials and equipment are kept under correct access control, being accountable to the Exams Manager for all activity and access to the safes, lockers and safe rooms.
  • To support with Examiner management databaserelated tasks, e.g. filing, Examiner Certification processes, monitoring data, updating databases.

Test venue administration and invigilation

  • To support with aspects of test venue administration.
  • To support facilities management functions of the London head office, eg incoming and outgoing mail, courier bookings, etc.
  • To act as an usher or invigilator for London venue exam sessions taking place on weekdays.
  • To support audits of exam venues, and occasionally support mystery shopping interventions at venues.

Test-taker results

  • To support the data entry of testtaker results data in relevant databases, systems and spreadsheets, using secure transfer protocols when required.
  • To update the IWAS system to reflect accurate information about absentees/refunds.
  • To support the jagged result profile process, liaising with the Exams Administrator (Results and Enquiries) for guidance.
  • To support all results certificate processes, including managing the TRF and similar processes to agreed deadlines and with accuracy and completeness.
  • To process 'additional TRF' requests and any test taker communications required.

Test-taker enquiries on results

  • To help process incoming Enquiries On Results (EORs) requests within agreed timescales.
  • To help process outcomes of the EORs as appropriate, and communicate back to test takers in line with agreed policies.
  • To help process refunds of the EOR fees if the EOR outcome leads to a higher band score.
  • To help identify high band discrepancy EORs and communicate these to the Senior Exams Administrator (Examiners and Group Bookings) for monitoring of the Examiners.

Exam systems

  • To enter data into exam systems to ensure test takers are enrolled to exams booked
  • To match booking enquiries to test venue parameters such as start and end times, availability of staff, etc.
  • To ensure completeness and accuracy of all data within the exam systems.
