    Job overview

    Supporting the Lead Nurse, Ward Sister/Charge Nurses and the ITU team in the administrative running of the ward and in the management of patient flow. The post holder will be managed rather than supervised and required to work on their own initiative.

    This post is responsible for implementing, supporting and administering electronic rostering of the nursing workforce within ITU. Also to support the development and maintenance of databases for staff training/absence monitoring purposes and performing audits, checks, and general administrative duties.

    The post is responsible for assisting the Band 7 nurse in monitoring and ensuring actions to improve the flow of patients in and out of the Unit. Creating and maintaining close links with wards across the hospital site and with directorate teams to ensure actions to improve the flow of patients are timely and appropriate.

    Main duties of the job

    Electronic rostering

    To assist in the implementation and be responsible for the ongoing administration and maintenance of an electronic rostering system. This will involve:

  • Ensuring timely and accurate uploading of the nursing rota onto an electronic rostering system.
  • Frequent liaison with ITU nursing staff in respect of amendments/requests etc, seeking guidance and direction where appropriate from the Ward Sister/Charge Nurse or a Nurse in charge of the ward area.
  • Designing and regularly producing reports against KPI's from the electronic rostering system.
  • General system administration
  • Patient information and flow: To support the Band 7 nurse in the following.

  • Developing and maintaining robust working relationships with clinical and managerial staff across the site and wider Health Board in order to act as a co-ordination point for admissions and discharges.
  • To assist with administrative support in respect of:

  • Recruitment / Employment documentation. To maintain a database of staff statutory/mandatory training alongside other staff training databases.
  • To assist with the inputting of data for the Outreach & teams, collating information for reporting.
  • To assist the PDN in organising multi-disciplinary meetings/training sessions.
  • To type letters related to staff absence or workforce issues as requested by the Ward Sister/Charge Nurse/Matrons

    Detailed job description and main responsibilities

    Electronic rostering

  • Ensuring timely and accurate uploading of the nursing rota onto an electronic rostering system.
  • Frequent liaison with ITU nursing staff in respect of amendments/requests etc, seeking guidance and direction where appropriate from the Ward Sister/Charge Nurse or a Nurse in charge of the ward area.
  • Designing and regularly producing reports against KPI's from the electronic rostering system.
  • Periodical auditing of information within the nursing rota.
  • General system administration
  • Patient information and flow:

    To support the Band 7 nurse in the following.

  • Developing and maintaining robust working relationships with clinical and managerial staff across the site and wider Health Board in order to act as a co-ordination point for admissions and discharges.
  • Maintain close communication with the Nurse in Charge over bed capacity issues in order to inform decision-making and convey information to other directorates within the Health Board. Communications can often be complex and sensitive and the post holder will be required to respond appropriately.
  • To gather information and produce an accurate position statement on ITU capacity to inform the hospital management team.
  • To be responsible for monitoring and reporting of delayed transfers of care.
  • To assist with administrative support in respect of:

  • Recruitment / Employment documentation. To maintain a database of staff statutory/mandatory training alongside other staff training databases.
  • To assist with the inputting of data for the Outreach & teams, collating information for reporting.
  • To assist the PDN in organising multi-disciplinary meetings/training sessions.
  • To demonstrate the electronic systems to new starters.
  • To take the lead on completing starter/leaver and staff changes forms
  • To type letters related to staff absence or workforce issues as requested by the Ward Sister/Charge Nurse/Matrons
  • Other administrative duties

  • To follow ward operating procedures and comment and implement changes for administrative procedures.
  • To prepare packs for new starters.
  • To assist in the patient/carer experience agenda
  • To maintain staff and patient information boards
  • To liaise with Estates in reporting faults and chasing up outstanding jobs
  • To answer the telephone and direct calls
  • To keep an up to date and accurate record of service contracts for equipment.
