    An exciting opportunity hasarisen for an experienced secretary/ administrator to join our friendly andprofessional team as a full time Senior Medical Secretary, working 22 hoursper week, within the Cardiology Department. The successful candidate will workalongside the existing secretarial team to provide comprehensive and efficienttyping and administration support.

    We would like to hear fromhighly motivated and flexible team players with excellent organisational andcommunication skills. The ability to work under pressure and effectivelyprioritise your own workload is essential. We are looking for a candidate withhigh standards and an eye for detail. You must have the ability to multitaskand work in a busy, ever-changing environment. You will be able to work on yourown initiative as well as within a team, with well-developed communication andinterpersonal skills.

    The role will include responsibility for Consultant and junior doctor diary management, typing of outpatient appointment letters and other correspondence to GPs and other clinical professionals, dealing with enquiries from clinicians, GPs, other hospitals, patients and their relatives, updating medical records and inputting data to support the attainment of Divisional targets. In addition, the post holder will be required to support the Directorate Management Team with the tracking and validation of patient pathways to achieve the National 18 week Referral to Treatment (RTT) target.

    Job responsibilities

    Job Purpose:

    To provide comprehensive administrative and audio typing support for the Consultant Staff and their junior teams, assisting with achieving Trust and departmental objectives through liaising with relevant people and teams.

    Key Relationships:

    Internal: Senior & Support Medical Secretaries, Management, Consultants and junior staff both inside and outside the department, nursing teams, other health care professionals, ward clerks.

    External: GP surgeries, other hospitals, patients and relatives.

    Risk Assessment:

    Works with display screen equipment for prolonged periods.

    Involves manual handling activities.

    Key Responsibilities:

    All Secretaries should be able to undertake the following duties and are expected to work in teams to fulfil the requirements of the service.

  • To undertake medical audio / copy typing duties, including outpatient letters to GPs, discharge summaries and other official correspondence.
  • To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the role.
  • To work using own initiative with minimal supervision, prioritising own workload in line with objectives of the department and consultant teams.
  • To deal with all incoming correspondence, phone, and email in an efficient and effective way.
  • To liaise with other members of the secretarial / administration team in order to provide a co-ordinated and efficient secretarial service.
  • To support the Directorate Management Team with the administration, tracking and validation of patients pathways to achieve the National 18-week Referral to Treatment (RTT) target.
  • To liaise with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times.
  • To deal with any complaints, problems or issues in a sensitive way, escalating to clinicians / management as appropriate.
  • Ensure confidentiality is maintained at all times, complying with the Data Protection Act, Information Governance and other Trust / Departmental Policies.
  • To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients.
  • To undertake any other duties as may be required / appropriate by the Directorate Management Team.
