Job summary:


  • The CEO Officer acts as the essential first point of contact to the CEO Office for internal colleagues from across the organisation as well as key external stakeholders. A key member of the team, you will use your knowledge of the organisation to allocate items of business to colleagues for further action, and help to provide an overall excellent service to the CEO, Chair and Board.

Job description:

Mailbox Management

  • Act as the key first point of contact to the CEO Office to a range of internal and external contacts.
  • Responsible for the triage and allocation of a high volume of internal and external correspondence within the shared mailbox.
  • Send acknowledgements or holding response to all enquiries within the service level agreements and ensure a full response has been issued in a timely manner by the appropriate colleague.
  • Keep effective records of correspondence in line with our retention policies, ensuring the effective use of technology and electronic logs.
  • Assist with the collations and response of corporate complaints in conjunction with the CEO Coordinator.
Wider CEO Team Support

  • Assist with the maintenance of excellent working relationships with representatives of HES departments and the Board.
  • Acting as a key member of the Chief Executive's Office, sharing information on ongoing matters, and keeping an ear to the ground for news of upcoming events, achievements, and hot topics.
  • Support the wider CEO team to take forward Corporate Governance needs across the organisation.
  • Support the wider CEO team with any communications activity (internal and external) regarding Chief Executive and HES Board.
  • Support internal communications activity for the CEO Team including providing good new stories and maintaining intranet pages
  • Support Head of CEO Office with key corporate projects as required.
  • When required provide support for key stakeholder events or meetings as required, this could include secretariat support and minute taking as appropriate.
  • Book and process travel and subsidence claims for members of the HES Board
  • Manage the Director on Call rota ensuring information supplied to internal comms is up to date
  • Provide occasional cover to the CEO Coordinator and wider CEO's office as required.
  • Work in close alignment with the Executive Assistant to the Chief Executive and other members of the team to provide a coherent and smooth service to the Chief Executive.

  • Excellent teamworking skills and the ability to approach challenges with confidence
  • Demonstrable strong written communication skills
  • Proven track record of taking the initiative in order to deliver an excellent service
  • Able to demonstrate a proactive, solutionbased approach to work and the ability to prioritise a busy workload
  • Comfortable advising and engaging with staff at all levels
  • Strong knowledge and proficiency in Microsoft Office software package, particularly Outlook, Word and Excel
  • Ability to engage with external and internal contacts at all levels confidently

  • Experience of raising purchase orders and processing expense claims
  • Experience of liaising with colleagues and contacts at a senior leadership/board member level
  • Experience working with a wide range of colleagues and departments with an emphasis on developing and maintaining relationships
