    Job Title: Event Operations Coordinator

    Salary: Up to £33,000 pa

    Location: South Kensington

    Report to: Events Manager

    Hours of work: Full-time including late evenings and weekends

    What you will do:

    The Event Coordinator will play a pivotal role in supporting the execution of events from initial enquiry and preparation through to completion. Working closely with the event management team, this role will involve administrative as well as hands-on tasks such as event preparation and operational team supervision.

    This position offers the opportunity to work closely with experienced professionals in the event management industry and gain practical hands-on experience in all aspects of event operations as well as event sales and business development experience. It is an ideal role for individuals who are passionate about events, eager to learn, and looking to advance their career in the event management industry.

    Your key areas of responsibilities:

    • Manage event enquiries, create and send proposals as and when required.
    • Provide full event coordination of onsite events, from event preparation/setup to breakdown
    • Assist clients and attendees, troubleshooting issues, and ensuring the smooth flow of activities.
    • Fully brief and supervise the food & beverage team and ensure the highest level of customer service throughout the event.
    • Coordinate with suppliers for quotes and communicate with clients to ensure timely delivery of event-related items.
    • Manage the Events Team diary, scheduling appointments, meetings, and site visits as required.
    • Perform administrative tasks such as updating our CRM, event management software, menus, capacities, online representation platforms, etc.
    • Communicate effectively with team members and other departments to ensure all tasks are completed on time and according to specifications.
    • Maintain cleanliness and organisation of event spaces before, during, and after events.
    • Assist with post-event activities, including gathering feedback and compiling event reports.

    Your areas of knowledge and expertise:

    • Previous experience as in a supervisory or coordinator role within an events operations team.
    • Previous experience in event preparation, setup and on-the-day coordination.
    • Strong organizational skills with the ability to prioritise tasks and manage time effectively.
    • Excellent attention to detail and ability to work well under pressure in a fast-paced environment.
    • Proficiency in Microsoft Office Suite and basic computer skills.
    • Strong communication and interpersonal skills.
    • Ability to lift and move heavy objects as needed during event setup and breakdown.
    • Positive attitude, reliability, and willingness to learn.
    • Flexibility to work evenings, weekends, and overtime as required for events.
