    Description

    This role is for a Studio Manager for a small interior design studio based in the Paddington Basin. This small team is growing organically, and they need someone to guide them through the day-to-day workings of the studio.

    Working closely with the senior members of their team, you will maintain an overview and a keen eye on the studio's projects as well as making sure all admin associated with the project team, resourcing, suppliers and invoicing is carried out seamlessly. You will also lead the HR function of the studio, driving everything from the recruitment process to staff reviews and ensuring the health and wellbeing of the team. Finally, because the studio growing they need their studio manager to help keep us organised, whilst maintaining enthusiasm for any task big or small; it may be ordering plotter ink, sorting out IT issues or helping with any last minute unforeseen situations

    Key responsibilities

    HR:

    • manage studio recruitment process, employment contracts, on boarding and staff reviews
    • manage staff leave calendar (holiday, sickness etc)
    • help ensure the health and wellbeing of the team being the first point of contact for any concerns they might have
    • help make sure the studio team is engaged, motivated and inspired
    • help us maintain a studio that is rewarding and fun to work for and ensure the team is in the best position to deliver against the creative vision of the business

    Project and resource management:

    • work with the management team to allocate and carefully monitor the amount of staff time spent on each stage of a project to ensure it is managed efficiently
    • meet with the team to ensure resourcing is correct, projects are on track and work is produced to deadlines
    • work with the team to ensure meetings are scheduled at the right time to review work efficiently and provide clear status reports
    • work with the management and finance team to ensure that our billing schedule is aligned with our deadlines
    • work closely with the new business team to prepare for upcoming resourcing needs

    Operations, systems and procedures:

    • regularly review and ensure the studio operation and administration procedures are efficient and effective; the studio manager is ultimately the driving force behind creating a comfortable and tidy working environment
    • ensure all studio policies and handbooks are kept up to date and are in line with industry best practice
    • managing all IT, software and telecoms across business and working with external IT consultants
    • managing all elements of the studio maintenance, including the utilities, cleaning, insurance and security
    • managing the company's physical and digital filing system
    • managing office costs effectively

    General studio management:

    • supporting the team with general studio administration, for example, post and deliveries, stationery, keeping the studio clean and tidy
    • meeting and greeting all visitors, be a great host serving refreshments and clearing the meeting table
    • answering the studio phone
    • organising any team socials, for example, summer and Christmas parties and culture trips

    Required experience:

    • significant practice management experience: having strong experience in project time management and allocation within a creative environment
    • excellent team management experience with proven time and performance management skills
    • sound operational expertise: with demonstrable experience in using and developing procedures for time recording, management and analysis

    Required skills:

    • excellent time management, organisational, reporting and team management skills
    • energetic self-starter that enjoys getting stuck in and finding solutions
    • curious and approachable, with great interpersonal and communication skills
    • fully proficient in usual office software such as MS Office, Word, Excel, Mail and Adobe Creative Suite

    Qualities:

    • must be able to deal with issues involving confidentiality with professionalism and integrity

    Please note this role requires you to be in the office 5 days a week.
