Job Overview:


We are seeking an IELTS Exams Administrator focussing on post-test activities to work with us in our busy and growing IELTS exams team.

These exams are a fast-growing area of our business and our current team needs an extra pair of hands to ensure our IELTS test takers receive their results on time.

The role involves managing results, enquiries on results, and examiner management tasks.

It's a busy role with lots of tasks running concurrently, so we need someone who can juggle several tasks at any given time and enjoys a dynamic environment Supportive and fun team based in Stamford Brook, London.


Benefits:


  • Band 5 salary which has a range of between
    £12,000 £15,600 p.a. for a 0.6WTE (3 days per week) role, which is equivalent to
    £20,000 £26,000 p.a. prorata if fulltime

Role type:

Part-time (21 hours per week), 12-month fixed term (but with a high likelihood of making permanent after first 12 months).

Ideally working 9 am-5 pm on Mondays, Wednesdays, and Thursdays) (21-hour working week).


Exam material and equipment management

  • To support other IELTS Exams Administrators to carry out the unpacking of exam materials, eg answer sheets, IAM equipment, examiner materials, training materials, monitoring documents, recording devices, compliance forms, etc. Support crosschecking with other colleagues.
  • To support regular stock audits and coordinate stock control of results and enquiriesrelated items, including paper results certificates.
  • To ensure confidential materials and equipment are kept under correct access control, being accountable to the Exams Manager for all activity and access to the safes, lockers, and safe rooms.
  • To carry out scanning of documents, with the correct and secure filing of all scanned and stored documents.

Test-taker results

  • To ensure all testtaker results data are accurately represented in all databases, systems, and spreadsheets, using secure transfer protocols when required.
  • To update the IWAS system to reflect accurate information about absentees/refunds.
  • To manage the jagged result profile process, liaising with 2nd examiners, and possibly 3rd examiners, as required.
  • To work with the Exams Manager and Senior IELTS Exams Administrator (Examiners and Group Bookings) to ensure marking and results processes adhere to awarding body requirements.
  • To release, print, arrange for signing from a more senior team member, and then post all the test and results certificates, including managing the TRF and similar processes to agreed deadlines and with accuracy, and to carry out samplebased checking of certificates.
  • To process 'additional TRF' requests.
  • To support communication with testtakers on any issues regarding withheld results, and keep records for these.
  • To communicate processes and good practices to local staff, eg Chief Invigilators.

Test-taker enquiries on results

  • To process all incoming Enquiries On Results (EORs) requests within agreed timescales.
  • To process outcomes of the EORs as appropriate, and communicate back to test takers in line with agreed policies.
  • To process a refund of the EOR fees the EOR outcome leads to a higher band score.
  • To identify all high band discrepancy EORs and communicate these to the Exams Administrator (Examiners and Group Bookings) for monitoring of the Examiner.

Weekly incident reports

  • To attend the weekly incident reporting meetings, and lead the coordination of actions resulting from the summary incidents
  • To liaise with other colleagues to ensure all actions are followed up and learning points are shared with all relevant teams and individuals.

Other

  • To occasionally act as an usher or invigilator for London venue exam sessions taking place on weekdays.
  • To ensure that confidential documents, information, and data are not disclosed to anyone other than their intended recipient/reader.
  • To comply fully with MTS's GDPR and data protection policies and standards and Safeguarding (Children and Vulnerable People) policy.
  • To support audits of exam venues and occasionally support mystery shopping interventions at venues.
  • To carry out any other tasks and activities for MTS, according to business priority, as appropriate for this level role in the organisation.
