Job Title - Fleet Co-ordinator

Job Salary - £25,000 per annum

Job Hours:
Monday to Friday (08:00 till 17:00)

20 days annual leave plus 8 bank holidays


Purpose of the role:


The purpose of this role is to assist senior members of staff in the management of the workshop team, in terms of work allocations, system integrity, parts management and overall cost controls.


Duties:


  • To be fully aware of the workload requirements (understanding of handover and using workshop calendar)
  • Prioritising work as required
  • Ensure inspection schedule is kept up to date, and escalated to line manager if not possible
  • Ensure the fleet of vehicles is operating in accordance with legislation & regulations
  • Managing strict vehicle maintenance and servicing schedules to minimise downtime
  • Maintaining accurate and detailed records of vehicle inspections & services
  • Ensure all bookings are on schedule for third party work such as fridge service, moffett inspections, tacho downloads, LOLER's etc.
  • Ensuring paperwork is completed promptly and the system is kept up to date
  • Ensure any vehicles presenting as unroadworthy are reported to line Manager and put a plan in place for rectification
  • Ensure all repairs are carried out to the required standard
  • Ensure Quality controls are in place where required (Always prior to MOT presentation)
  • Ensure any work not completed has been reported on, and has been forward planned
  • Monitor defects & follow through to rectification
  • Locate and plan vehicles in for maintenance work with the traffic team
  • Send out weekly maintenance requirements to all depots
  • Allocating workload to technicians on shift
  • Monitor technician productivity
  • Participate in workshop development meetings
  • Ensure parts are booked onto the correct jobs
  • Ensure parts used are actually required prior to fitting
  • Where parts need ordering in, ensure costs are kept to a minimum and price comparisons are sourced. (DAF Nationwide parts agreement)
  • Monitoring fleet costs and enduring they remain within budget
  • Develop strategies for improved cost efficiency
  • Participate in employee role reviews to be discussed with Line manager prior to meetings
  • Continually monitor warranty claims / parts returns and escalate these to the appropriate person (normally line manager)
  • Monitor drivers compliance
  • Communicating with the claims department & providing repair costs for accident damages
  • Assisting with the drafting and implementation of effective policies and processes regarding fleet operations
  • Carry out regular process reviews with your line manager to identify operational issues and ensure appropriate actions are taken to rectify
  • Assist and provide support to the Workshop manager and ensure all work is agreed with a customer before work commences
  • Ensure appropriate training needs are identified and support is provided in a timely manner to bridge any competency gaps
  • To submit & amend technicians hours on payroll weekly and book all annual leave/college days appropriately

  • HGV Vehicle maintenance: 2 years (preferred)
