Who are we looking for?

Centres Coordinator / Administrator


Location:
Thurrock


Working Hours:
8.30 am to 5.00 pm OR 9.00 am to 5.30 pm, 1 hour lunch, Monday to Friday

37.5 hours per week. Some flexibility on these hours may be required.

Contract Type Options:
Full time - Temporary


Salary Band:
Up to £25,000


What are we looking for?


We are seeking a Centres Coordinator / Administrator that can bring a fresh perspective to our existing team, to support learner engagement, embed the life-long learning ethos, and provide solutions to the barriers that learners might face throughout their journey.


You will be responsible for creating an outstanding experience for our learners and working closely with the Deputy Manager and internal teams, to track, report, and monitor the success of all adult learning activity.


You will be responsible for supporting the success of learners and their journey with TCHC, and you will be an engaging and collaborative part of our department as we continue to promote our ethos for continued development as well as strive for business and operational excellence.


Qualifications:


  • Any Vocational Qualification at Level 1 and up
  • GCSE (or equivalent) in English and maths at grade C or above, essential

Main Tasks & Responsibilities

  • To support colleagues and learners to ensure the smooth running of the training centre, maintaining high standards of communication, administration, health, and safety, safeguarding and equality and diversity in compliance with all TCHC procedures and policies and the requirements of Ofsted, awarding bodies and funders.

Tutor Support

  • Act as Examinations Officer for the Centre and follow JCQ and awarding body guidelines entirely regarding administration of examinations and assessments.
  • Maintain security of confidential materials, controlling access to the safe.
  • Diarise any offsite interventions with learners and assist planning including travel arrangements and ensuring risk assessments have been completed.
  • Organise learner registrations,
  • Promote inclusive learning and consistently maintain established standards of discipline within the centre.

Reception and Customer Service

  • Be the first point of contact for all visitors and maintain a professional and welcoming reception area.
  • Be the primary first contact for external callers and deal with queries promptly, taking messages and following up to ensure excellent customer service is delivered.
  • Organise promotional events and promote the business of TCHC as appropriate e.g. schools career events/open days/awards ceremony.
  • Maintain noticeboards with accurate and up to date information and guidance, creating effective and attractive displays.
  • Build an effective rapport with learners and report to colleagues any issues which may impact on learning progress.

Administration

  • Learner enrolments and ILRs are accurately complete
  • To ensure that learner bursaries are applied for and administered efficiently including daily travel payments.
  • Organise course marketing and open days.
  • Maintain information requirements of external bodies.
  • Undertake general administrative duties.
  • Manage all ordering of stationary and other resources required to ensure the smooth operation of the centre.
  • Administer petty cash and maintain records.
  • Follow TCHC general housekeeping procedures.
  • Plan appropriately for any new programme delivery as may be developed to maximise funding opportunities, through effective liaison with colleagues.
  • Maintain centre calendar and notify staff of important events, supporting all deadlines to be met.
  • Undertake any ad hoc tasks as required and be flexible in covering work of team members as and when necessary.
  • Contribute to centre selfassessment and quality improvement processes and propose ideas for continuous quality improvement including improved systems of administration.

Monitoring and Continual Improvement

  • Undertake regular CPD and record it using company documents.
  • Undertake qualifications where suitable as part of your own learning and development.
  • Take proactive approaches to ensure Safeguarding
