Key Responsibilities:


  • General office administration including scanning documents and opening post.
  • Preparation of tenancy agreements, dealing with tenancy deposits, producing inventories and checking tenants in and out of lettings with the support of a property surveyor.
  • Answering the telephone and transferring calls accordingly.
  • Dealing with the transfer of utility bills between tenancies, either between tenants or tenant and landlord.
  • Downloading invoices from their online portal.
  • Taking meter readings and reporting this information.
  • Checking invoices and passing to the relevant stakeholder for payment.
  • Keeping internal databases up to date.
  • Liaising with contractors and tenants over routine repairs, and ensure services are delivered/maintained by instructing contractors to carry out works.
  • Ensure contractors insurance certificates are up to date and that the business/services and Contractors are always fully compliant.

Key Skills and Experience:


  • Previous experience in an administration or secretarial role is essential.
  • Previous experience working within Property (Estate Agency, Chartered Surveyors or Legal would be highly desirable).
  • Strong communication skills, both written and verbal.
  • Excellent computer skills including using MS Word and Excel and their internal systems.
  • Comfortable working in a small team.
  • Highly organised with excellent attention to detail.
  • Happy to 'muck in' with various tasks and be flexible in approach.
