Provide administrative support to internal and external customers; including general customer service, invoicing, cost estimations, reporting and processing / managing of service contracts in CRM ensuring the delivery of a world class service experience.


Administrator main task

  • To be a custodian of the brand at all times and demonstrate company values
  • Liaising with external and internal customers in relation to service request progress and updating CRM accordingly
  • Set up new / renewed contracts in CRM and create payment plans to invoice through SAP
  • Ensure data in work orders is accurate prior to submitting to SAP
  • Submit all Service related work orders to SAP
  • Create and manage cost estimations within CRM in line with customer and contract conditions
  • Process spare parts orders for accepted cost estimations
  • Follow up on outstanding purchase orders / cash payments and open cost estimations
  • Check SAP orders held in the system (e.g. open delivery notes / missing pricing etc)
  • Investigate / resolve Technician Stock Take queries
  • Investigate and resolve Service invoice queries and raise supporting credit paperwork as required
  • Generate daily, weekly and monthly customer reports as required
  • Undertake other activities requested by management to meet department and/or business requirements

Qualifications and experience for the Service Administrator are:

  • Administrator experience
  • 3 GCSEs at Grade 4, or equivalent, including English and Maths
  • Customer Service/Support
  • Microsoft Outlook
  • Office administration in a busy and demanding environment
  • Microsoft Dynamics CRM
  • SAP
  • Geographical knowledge
